The best property management software on the market!

Vorteile:

Smartwebs made customized implementation and training for our community associations a breeze. We expected a learning curve with switching from our old management systems, but it really was so simple with very little pushback from our managers. When questions or concerns did arise, they were lightning fast to respond. They are continuously improving software features and implementations. We didn't know it could get any better! I would recommend Smartwebs to any association whether you are managing with spreadsheets or another HOA management software.

Nachteile:

A training portal with recorded videos would be a great addition, however not necessary as the walk-through training was enough for us.

There is no better way!!!

Vorteile:

This is a great program to track violations in the community management field. Makes it super easy to use a and track. There is no other program I would suggest.

Nachteile:

The set up takes awhile, and doing the back end work is time consuming but totally worth it.

Could be fantastic!

Kommentare: It's a great program, but can be cumbersome with the features not being utilized at full potential.

Vorteile:

I like that it's easy to run reports and this it has a offline version. The reception in our area is poor. I also love the touch free mailing, that has been a huge timesaver!

Nachteile:

The houses are never in the correct spots and we have been told the only way to reset them is to manually move them. We are in East Mesa and some of the homes end up in buckeye. Then we have to manually move them from there and place them to where they are supposed to live. The offline version used to also have tracking, but that never works properly. When escalating to the fourth notice, it skips to the 5th. I then have to manually change that to 4th when I move them to be processed. We also have different fines for different violations, so we also have to manually change that.

This software makes compliance inspections so easy and has cut down on our inspection time.

There isn't anything we have found that we don't like.

I truly enjoy how accessible this software is in any one of our wants and needs in accessing our community.

Nachteile:

I guess I would say how small the note sections are and how the date is automatically applied when placing a hold until it is fully sent through, if I am one day off I won't know until after.

You are ALWAYS Supported

Kommentare: The experience has been wonderful, as we add more associations, they have been there to help us along the way!

Vorteile:

The thing I value the most is the constant support from the SmartWebs team, whether it is Operator error (which most of the time it is lol) or a software issue (they are ALWAYS open to feedback to make their software better) there is always someone there to support the process.

Nachteile:

The only thing is that there is so much functionality, it takes a moment to wrap my head around all of it, but like I said, there is always someone to help us through it all. We had weekly meetings until we were all set and comfy using the software on our own!

Smartwebs is the best choice

Vorteile:

Pros: We selected Smartwebs for many reasons.  For starters, the letter templates ensure consistency in outgoing resident communication regarding modifications and our violations.  This coupled with expediting the work of our covenants department, the ease for volunteer committee members to review and vote on applications electronically, the efficiency of staff to send approvals to residents, and the online records storage in perpetuity all made it an easy sell.  The seamless integration with our third-party accounting software eliminated the prior problems we had with inconsistencies or errors in names and addresses when information was entered manually.  The work order software allows staff and contractors an organized way to track repairs that were previously discoursed via email with no long-term tracking logs, and the reports to the Board easily demonstrate the work load of employees and contractors.

Nachteile:

Cons: Occasional slowness when a new release update is coming out, however we have noticed it is speeding up as the team ensured us they are working diligently to resolve this.

SmartWebs is a smart move for your HOA

Kommentare: I wound recommend SW to any HOA management team. I would remind them that “garbage in , garbage out “ when working with the implementation team to make sure they had clean data to import as this is critical to their success with SW. I wound also recommend they have someone staff as a super user. This person should be the expert in all things SW. This would be beneficial to their daily operation

Vorteile:

The best feature of this software is not something written in the software but rather it’s the customer service provided by the SW employees. We had yearly face to face meetings with the president of the company and could contact anyone at the office when ever we had an issue. We have the direct phone numbers of several senior level people and can contact them when needed. I have a background in software testing , from a previous job , so when I found some items that needed enhancements , I was able to work with the developers to create new items and processes within the software.

Nachteile:

It’s my belief that the software was not created for large scale HOAs. We have an enormous amount if data snd when running reports the software would not be able to accommodate the output. The system wound either crash or it wound just spin and spin and never give any results. I would have to contact SW Snd have someone there run my reports. This was very frustrating and time consuming

Smartwebs usage

Kommentare: It use to be good, but now there are so many "flaws" that we are finding that we are going to be using a different software program that incorporates the same type of usage as Smartwebs.

Vorteile:

I like that it is easier for the staff to do compliance checks in the field. The off-line app lets us supply them with tablets that do not need phone numbers in order to run the app.

Nachteile:

It is frustrating to have to use the same category/sub-category for a different violation for the same property and because of the way Smartwebs works, it won't let you, so you have to end up creating a new category/sub-category, which is then for the whole company and not just that community. We have had some very severe synching issues in the past 6 months which, at least some, have never been resolved as of yet. We can't even get them to let us know what the issue is and everytime we call or email, there is either a non answer or no answer at all.

poor customer support

Kommentare: If I could find a competitor that was half ass competent we would change in a heartbeat. Goal is to find a reasonable alternative this year.

Vorteile:

getting better as they improve the updates. doesn't crash as much as it used to. for a while we were able to log into associtiations in other states and make updates. reported this to the vendor , they never acknowledged receipt of the problem and didn't fix for several months.

Nachteile:

extremely poor customer response. difficult getting replies to problems.

Customized software in an ever-changing world

Kommentare: Overall, my experience is that Smartwebs makes some of the laborious tasks in association management easier through streamlining certain parts of operations.

Vorteile:

Smartwebs is an intuitive product to learn and assimilate into the day-to-day operations of HOA management. A large portion of our job consists of Architectural Review requests and Compliance, both of which are available within this software, by address and resident. In addition, the notes feature of compliance is essential; as is the forum for committee conversations.

Nachteile:

The only negative I have had is being required to have Smartwebs update our template letters. This is a bit of a hand-tier.

Kommentare: smartwebs support was helpful when issues arose.

Vorteile:

the features, like the chair position, were liked very much by the end users.

Nachteile:

nothing is streamlined. the requestor cannot upload their request themselves. they cannot respond to questions from the committee. a third party admin has to be involved at every step of the way.

Smartwebs honest review

Kommentare: Overall I'm very happy with this product and can't imagine my daily work without it.

Vorteile:

I really like this product, I honestly don't know how managers did their inspections and ARC management without, it's a time and life saver in my opinion.

Nachteile:

I would like the integration to be done live, having to wait for once per week integration sometimes slows me down.

Development Coordnator and Architectural Review

Kommentare: I started using SmartWebs back in 2014/15 or somewhere around there, [SENSITIVE CONTENT] from Austin used this at her Management Company and introduced FirstService SA to SmartWebs and I have loved it ever since. So easy to navigate and to use the website.

Vorteile:

It is easy to find requests and close out requests, I like how it is easy to filter the information.

Nachteile:

I have 2 separate accounts, one for my company and one for the HOA. I cannot be signed into both at the same time and get it's frustrating having to sign in-sign out....

Best all around software in the industry

Kommentare: Having one platform for everything an HOA or management company needs just makes the managers and integrations job easier all around. Customer service and the higher up execs are all pleasant to work with and listen to suggestions or criticism should it arise.

Vorteile:

SmartWebs is first and foremost very user friendly. Features work seamlessly, set up and integration is extremely easy, and if something goes wrong customer support responds very quickly.

Nachteile:

As far as existing features, I don't believe there are any cons. We work with SW all the time to try and implement new features or give suggestions for improvements, but it's overall a very pleasant experience.

Daily Grind

Kommentare: Smartwebs is user friendly and for the most part easy to understand. We have a few mapping issues but other than that it usually works.

Vorteile:

Pretty user friendly. I can find what I am looking for in the search buttons. I would like to be able to have the offline and online open at the same time in the field to do some clean upon the mapping when I am on location.

Nachteile:

Some of the features seem cut and dry not very flexible and the mapping is a little way off sometimes

Compliance

Kommentare: It is definitely a step in the right direction. A few tweaks are needed to make it more functional.

Vorteile:

In general, the screen to label the compliance letter and add a picture has a good workflow. I like being able to search the letter history.

Nachteile:

In the compliance software- 1) it would be great to have a place to add community exceptions for an inspection driver. 2) It would be great to be able to add notes for a compliance driver to view- like focus on tree trimming and so on. 3) it would be great to be able to have a list of properties for the compliance driver to review during the inspection. 4) it would be great to be able to run a report to see which notices a compliance driver sent. 5) On busy narrow street, with impatient drivers, it is not easy to get to the address to start labeling the letter. It would be good to be able to take a picture and put it in a holding area, and then assign to an address later. Drive down the street and park and then upload it. 6) adding new compliance letters is not user-friendly.

Smartwebs HOA Management Use

Kommentare: Overall, Smartwebs has been a great software program. It is incredibly user friendly for someone that is moderately tech savvy, however, we do have several users that complain that it can be difficult to navigate (I think that's directed more towards users that aren't very tech savvy). I appreciate the features that the software offers, but the biggest issue that we have is issues with syncing with our accounting software to make sure the most accurate and up to date information is being used.

Vorteile:

It is incredibly user friendly and offers many different features

Nachteile:

Sometimes the HTML or coding in the letters can be difficult to navigate or understand if not familiar with this type of coding.

Great Product!

Vorteile:

This software is easy to use. Boards and Committee members have access to view violations and other information at leisure- which puts less stress on management. Customer service is Grade A!

Nachteile:

Does not allow for daily fine schedules.

I have only one complaint and that is about the categories not being able to be used more than once.

Kommentare: I enjoy using Smartwebs and the fact that it is easy to use.

Vorteile:

I like that I am able to print out reports for the Board of Directors with ease.

Nachteile:

Again, the only complaint would be that the categories run out after one or two violations.

Smartwebs make the one part of my job I hate easier.

Vorteile:

The ability to access a property database and send covenant violations on one platform makes covenant drives bearable. Without a product like this, drives would recommend more time and hassle.

Nachteile:

The ability to upload and place new properties is a difficult process and should be easier.

Vorteile:

This app allows property managers to easily issue violations while onsite on a property inspection but also issue violations that a Board member may issue while a PM is not onsite. I use the app and I use on my laptop. I can add photos and customize my letters with ease.

Nachteile:

I don't like not being able to make adjustments to created letters that may have already gone out to reissue corrections.

Smart Webs ARC & Violations

Kommentare: I love it for the ease of reporting to the Board and am looking forward to getting the work order system in play.

Vorteile:

SmartWebs violations and ARC are very easy to use and provide an easy way to track projects and violations. There are a variety of reports that can be ran depending on how you need to see the data.

Nachteile:

Smartwebs offline sometimes crashes when adding a picture out in the property.

Tracking made easy

Kommentare: Good overall. I use it daily for work orders and compliance reporting. Makes my job easier and more accurate.

Vorteile:

The mapping and tracking features. The mapping allows ease for inputting new work orders and violations while on site.

Nachteile:

Editing work orders or compliance issues.
