Wonderful Virtual Conference Software
Very price competitive, with a ton of features over a very intuitive UI
Since this was our first major event moving to virtual from the normal face-to-face world, our major problem was figuring out how to transition and make it “as normal” for our attendees as possible. After multiple chats and screen shares with our rep, [SENSITIVE CONTENT] I was confident he knew what we wanted and expected and could help us navigate these new waters. I threw him a few curveballs for non-typical types of events we put on and wanted to move to the digital world, and I was always greeted by one of three answers.
First, if he knew exactly what we wanted, and knew there were a way to do it, he would immediately set something up and show me. Second, if it was something new to them (which a few things were), he wanted to spend a little more time trying to understand our needs, and bounced a few ideas off of me or his co-workers to possibly see if there were a way to get what we needed. He would then schedule a call to walk through and verify if what they came up with met our needs. Lastly, the response I would only hear after he tried anything and everything, and escalated as appropriate, was, “I’m so sorry, our platform doesn’t allow that, [and here’s why].”
After using Hubilo and working so closely with [SENSITIVE CONTENT], we’ve come to realize that a virtual event CAN be completed with success, and meet the needs of our attendees without having to jump through hoops. We will absolutely look at using Hubilo in the future for any other large virtual, hybrid, or face-to-face events.
The first thing that drove me to looking into Hubilo was their reasonable pricing model. Especially since they offer a flexible model. From an administrative standpoint, the Dashboard couldn’t be more intuitive. It is very easy to get around and setup the event, add attendees, add sessions, etc. In both cases (attendees and sessions), Excel files can be uploaded to allow bulk adding to make the process even easier, and they were all sent an invite email to join in an instant. Adding Exhibitors/sponsors was just as easy – with the added bonus of giving them permission to edit their own virtual booths should you wish to open that portal. There is so many nuances in the settings, you can turn things on or off with a switch – allowing you to totally customize the event to your liking. For example, we turned off polling for some of the sessions, but left it on for others, including the event feed. We turned off open chats for the event feed, allowing us to moderate the chat and have “Sponsored” posts in that area. Overall, Hubilo is very price competitive, with a ton of features over a very intuitive user interface, that make your event flow smoothly for the planners, speakers, and attendees, alike.
The user interface overall is easily navigable as seen above, but there are some quirks. As great as it is, there’s some quirks. If more than 3 sessions are happening concurrently, they can become “hidden” behind an arrow you must click to scroll through. We mitigated that issue for our event by having subsequent sessions start 1 or 5 minutes later. If the event is happening over multiple days, looking forward/backward isn’t as obvious. Would like to see those buttons larger, a different color, or something else to make them pop a bit and be more noticeable. One of our biggest issues was trying to play an “on-demand” video while having the speakers available for live Q&A after. Through the Hubilo Broadcaster, this is possible, as it is with Zoom, but in both cases, the video must be played from someone’s’ computer. It would be nice if the video played from Hubilos’ servers (as a typical On-Demand video does), with a ‘Zoom’ call added to the end of it for live Q&A. To be fair, I don’t think any other platform can do this right now, so it’s not an easy problem to solve. Another quirk we ran into is that the Q&A and chat responses have a limited character count. Understandably so, but we would like to see it raised a bit for the Q&A at least. Our speakers couldn’t easily answer some questions with the limitations in place. And something we didn’t think about before hand.
Gründe für den Wechsel zu Hubilo: Assuming you’re looking at Hubilo as a virtual event platform for your next virtual or hybrid event – I don’t think you can go wrong. I’ve vetted many other competitors, and they either costs too much, or were missing key features we needed. One of the biggest price point issues I’ve seen is simply the number of attendees to your event. Most (if not all) have a model that changes with pools of attendees – either by the 100, 500, 1000, etc. And some do this, too, but Hubilo allows this number to expand as needed, so you’re not stuck with the number you originally purchased. It can fluctuate to met your needs. I would encourage anyone looking to do what I did – tour each platform and compare features with costs, it becomes pretty clear.Something else to consider is the customer service provided. Hubilo’s team that helped from demoing and procurement ([SENSITIVE CONTENT]), to setting up our event ([SENSITIVE CONTENT]), and even the during the event was above and beyond what was expected ([SENSITIVE CONTENT] and [SENSITIVE CONTENT]). We were given an account representative ([SENSITIVE CONTENT]) who was extremely open, honest, and up front through the process. He worked with us for months leading up to our event, and was available for the duration of our conference, and has been helping since we’ve digitally closed the doors making sure everything went smoothly and is ready and available for On-Demand viewing afterwards.

Kommentare: Our CSM, [SENSITIVE CONTENT HIDDEN] was very responsive, proactive and helpful in making the deployment a success and providing us with timely assistance with issues that came up when we went live with event.
It’s relatively easy to use and has a lot of good functionality.
There should be an option to move users automatically from one session window or breakout rooms to the other. People are getting used to the zoom style of events with everything happening on a single window so in making the switch on Hubilo we tend to loose audience along the way. Including the automatic switch feature will help us maximize on the benefits of using multiple windows whiles retaining audience attention.

Kommentare: Overall experience was good, and felt our event (The Healing Trauma Conference) was successful with Hubilo. Hubilo provided our needs to have our event more integrated and interactive with livestreaming and to have an event this year. The Hubilo support staff was fabulous and very caring in having our event function to the best and be a very successful event. When we had a couple of hiccups, they took care of us and got the event moving. They were the best and we couldn't have had the event's success with out them.
Gave us the opportunity to hold our annual event, even though all the ups and downs of the pandemic along where restrictions or non restrictions might be with the pandemic at the date of our event. Gave us some clarity about having an event, which was on trauma and healing from trauma. We knew we needed to hold "The Healing Trauma Conference" this year, but back when we started planning the event we weren't sure if an in person event would be available. Liked that the software can be a hybrid to help people feel more like in person event and the opportunity to reach a world wide audience, not just our local or regional folks. As a small nonprofit organization gave us the opportunity to have others speakers or attendees that we might not have had the chance with just an in person event.
Would have liked more information on how to talk or promote in our media materials to this new style of hybrid, integrated software platform to attendees, exhibitors or guests. To help them to get the most out of the site and our event, especially if have a wide age range of guests or different abilities of internet/computer experiences. Would have liked more information on how as a small organization or business to uses the site during the event a little more. More adaptability with how the event ticket looks on the site and the how that flows for a purchaser, might be helpful as not sure why we had several incomplete orders. Adaptability of more organization/business branding when emails go out that people respond or doesn't go into spam folders as much.
Great experience while running a job fair on hubilo platform
