This is what you need if you have camp program

Vorteile:

Where do I start. We have campers all around California and out of state. Our old system was complicated, not user friendly and parents would have to mail or email us additional forms. With CampDoc everything we need from parents are all in one place. If parents forget to sign or fill out, we can just email them to go in and take care of the issue. On the back end - user friendly for staff. Everything they had to do on paper now can be done online from assigning cabins, reviewing special request, rosters, etc.

Nachteile:

At the beginning it was a challenge with the integration with our current software. the Communication between three parties was challenging but at the end it was worth it.

So Far, So Good!

Kommentare: We were using two software platforms to manage opur processes in 2022 - home-grown REDCap projects for pre-screening and CampSite once campers were selected. My predecessor had "evaluated" CampDoc when CampSite was selected in late 2021, but had somehow missed the need for the prescreening phase in the system spec requirements. We were going to fumble our way through another year with REDCap/CampSite and re-evaluate other options, when I got a marketing email from CampDoc that talked about pre-screening. I re-opened the conversation with them and we were able to work through our needs in a very short time with a very aggressive go live date of less than six weeks. We are about two weeks from that date and they have been very responsive and supportive as we go back and forth on our final design using a mish-mash of forms from both prior systems. It appears that they have been able to address 90+% of our requirements, including all the critical ones. The proof is in the pudding though, so ask me how it went in another six months...

Vorteile:

We are a non-profit, volunteer-run program looking for software that could handle our non-profit camp process from cradle-to-grave, enabling us to pre-screen applicants before assigning to specific camps. CampDoc was the only provider we could find who had clients that they had already developed this approach with. Having the ability to edit various lists such as required immunizations and medications was also a plus.

Nachteile:

Although we are in the very early stages (we started working with them in Dec 22), they appear to have some limitations in ability to cc and bcc emails, which is important in our selection process.

Camp Doc Review

The cost, and the customer service is not very clear in their communications

CampDoc Is Worth the Investment

Kommentare: Their customer service is everything.

Vorteile:

CampDoc synthesizes all of our needs - registration, health forms, finances - into one user friendly interface. They are definitely a health-forms company first, but they are absolutely the best in the business in terms of customer service and support. Every time we've needed to troubleshoot areas of the software that isn't completely meeting our needs, they have worked around the clock to find a solution. Even though costs have gone up, I wouldn't trade their customer service quality for any discounting anywhere.

Nachteile:

We wish the filtering process for billing invoices was a little more comprehensive. Similarly, we are probably their trickiest client in terms of how complex our registration "categories" are, and we haven't quite made that process seamless yet. But I still would choose them over again with the same budget and a clean slate of choices within the industry.

Easy to Use and Minimal Maintenance

Kommentare: It's saving us time and money and customer service immediately replies immediately with screen shots for any questions I have. To be honest, most of my questions are because I didn't take a few extra minutes to search for the answer in the help docs.

Vorteile:

It's so much easier to use than some other camp software. Our biggest reason for signing up, apart from paying several hundred per month less, was the minimal amount of paper we have to deal with. Everything is done electronically with eSignatures. Such a timesaver for us so far.

Nachteile:

Some of the terms take a little while to get used to. They all make sense, but just not what we were used to hearing. Also, reporting is different, but should be great once we use it more.

CampDoc = A Game Changer

Kommentare: Being one person who was running the entirety of a youth camp program - administrative and programatic plans - CampDoc has been essential to the productivity and efficiency of my office and the camp itself. CampDoc has made things more easily accessible. It has also helped parents be more confident in the safety/security of private information.

Vorteile:

Easy to use, especially for small organizations/camps. Customizable to fit the needs of a specific camp/program. Many options to make registration and medical needs even easier. Customer support/service is great!

Nachteile:

The only thing that we would consider a Con is the cost - given that we are a small non-profit organization. However, CampDoc has been very willing to negotiate and respects/honors customer loyalty.

CampDoc Review

Kommentare: Overall I think CampDocs is a great software system if your camp has kids that require medicine, etc. their main focus was on the medical side, which we really didn’t have a need for. If they put as much effort into the financial reports as they did the medical, we probably would’ve stayed with them.

Vorteile:

I liked the ease of CampDocs. The team responsible for our account was always responsive and available to help us navigate the software.

Nachteile:

CampDocs lacked financial reporting. The dashboard never cleared after completing the season, so you’d see this big number but that number was cumulative of how many sales etc. you had since the beginning of time. It was very confusing and made reporting very difficult. Also, you could not enter in your camp seasons/ sessions on your own. Their team had to go in and do it for you, and then there was a testing phase before it went live. Sometimes that made us have to push back registration, which was an inconvenience.

Product is easy to use and navigate. Everything is in one spot - registration, medical records, administering meds, contact info, etc. Customer support is INCREDIBLE and HELPFUL !!!

Nachteile:

N/A there's always new things to learn but it's easy to explore and figure out!

it doesn't have a mobile app to make it easy to use anytime, anywhere.

Wonderful experience

There could be slightly more admin edits (days and dates) however the CampDoc team is very responsive and does a great job of editing/helping when needed!

Full service suite of resources

Kommentare: Most of our experience was very positive. But at the end of the day, the monthly charge was going to be too high for the one two months a year we actually use the software.

Vorteile:

Our camping ministry has worked with the team at CampDocs for the past five years. While the setup process can be a bit extensive, the team is always faithful to listen to our needs and provides timely edits. The charges for accepting online payments are competitive and the ability to generate reports is a excellent. The jewel of this software is definitely the eMar health system for tracking medications and allergies. Overall, this software has saved us a ton of time sifting the right information for the right camps.

Nachteile:

It can be a little tricky generating reports that look exactly the way you want them to, and get the right information in that report.

GSHH and CampDoc

Vorteile:

It is easy to use once you set up up. and Setting up is easy and stress-free as well.

Nachteile:

the only con is user experience. since I use this once a year, I have to "re-learn" every year (and sometimes the team wants me to teach them!) the help section is helpful and I do admit to just calling. EVERYONE I speak to is very patient. I look forward to each summer!

If on the fence about CampDoc, take the leap!

Vorteile:

The software is very user-friendly. It's easy to navigate and to complete both from an administrative side but also a user side.

Nachteile:

Some times the refresh rate can be a little slow which has confused users and they think their browser has frozen. But there recently was an up and I'm excited to see if this will be an issue or not for our upcoming camp season.

Health Software

Kommentare: Excellent!

Vorteile:

Our organization used Camp Docs for the health software aspect. It was so easy to create your own customized forms for your clients and our rep was always available to assist and quick in their response time.

Nachteile:

Just understanding the process at the beginning through their online trainings. I was a bit confused on which trainings to take and how to initially start the process. Once I got ahold of our rep she was then able to assist me in next steps.

Youth Rally Camp

Kommentare: We have been able to access all the past records very easily since we set this up a number of years ago.

Vorteile:

Once we set it up for the year, it is easy to update year to year and change what needs to be changed while keeping those that are fine.

Nachteile:

It takes a long time to get the launch based on changes back and forth.

I would highly suggest using this program for your next event whether it be a camp or not!

Kommentare: At our camp, we didn't have WiFi, but we were able to print all food/environmental/drug allergies and prescriptions that were needed to be taken at camp at certain times of the day and included the dosage. Our nurse would administer the prescriptions, and then sign-off on the paper copies.

Vorteile:

CampDoc has really helped our company with camp and a conference. It was great to have all of the medical history and insurance cards before the event. When we first got to leadership camp, one of our campers passed out in the first hour of camp. We were able to look-up his medical history and found he does faint a lot. So we were able to call his parents, and we didn't have to take him to the hospital since it is something that happens to him. Later in camp we had a camper cut open her knee. We were able to go to the notebook and pull her medical history & insurance card and take her into the hospital. Since we had all of this information they were able to take care of her without waiting for a parent to get to the hospital (several hours away). We are now using CampDoc for the Registration and collection of the health profile and insurance card for our next conference. It works so well, and saves us tons of time collecting all of this information in paper. Our conference will have WiFi, so we will be able to utilize the on-line format of this program. CampDoc was the best find for our company, and it has given us the documents we need to protect our company and help the student in the time of need. CampDoc employees are great to work with and help to set-up the system for what we need. Thanks so much CampDoc!

CampDoc Review - Efficient & Convenient

Kommentare: Our overall experience has been wonderful. Our support team during year 1 was a little disorganized, but our current team is organized and so efficient.

Vorteile:

The ability to collect and store our essentially data and being able to access it conveniently. The continual improvements and new features being added clearly have the customer in mind and are greatly appreciated in making the use of CampDoc more efficient and convenient.

Nachteile:

I wish it was easier to access past data after the camp season has concluded.

I just wanted to leave a note to express some appreciation for everything you all do for us. One of the reps is our main contact but I've spoken with a number of people at CampDoc and every single person I've worked with has been helpful, knowledgeable, and positive. I really feel like the staff at CampDoc are part of the team of people who make my job as Director easier, and it feels like we're all working together to give campers a great summer. Additionally, I don't ever feel like I'm being upsold or pitched to, even from the staff who work in sales and services.

Nachteile:

No cons to report at all, I am very happy with CampDoc!

You continue to "set the curve" with your features!

Vorteile:

Our account manager is great! She's always knowledgeable, helpful, and professional, and she's also fun and personable. It usually felt like I was reaching out to a friend for help. The eMAR is HUGE for us! In a perfect world, we would save money by using the Health Log and EHR in Camp Brain; however, they don't offer the eMAR, and that's a deal-breaker for us. It seems like most camp management softwares are integrating health modules, but yours is still so good that we're unwilling to switch. As long as you continue to "set the curve" with your features, you make it too hard for customers to stray.

Nachteile:

We always have a handful of parents who express concern with putting so much personal information online. We also have a handful of parents who struggle with uploads; my guess is they're using old browsers. It's not hard to help those few families with their profiles.
