A Solid Company to Back Your Project
Kommentare: We originally used Square 9 to do health screening for COVID. When that proved easy and helpful, we moved our cloud storage to Square 9. We've recently had them build an online application for us. It hasn't been put to use yet, but it will be soon. We've like the experience with them so much that when another project came up recently (a form filler), we immediately reached out to see if they could assist us. I can't say enough good things about Square 9.
Vorteile:
I particularly like the people involved. The process of implementing your project is very streamlined. Communication is outstanding. I felt very confident in the projects/products we have implemented because the people we dealt with - every step of the way - had it together. I feel like the support behind the products are invaluable.
Nachteile:
Honestly, it can be a bit intimidating. There's a lot of functionality that the user can access and play around with. Square 9 does offer a lot of resources to try and help you navigate it, but it still can be a lot to process.

Long Time Square 9 User
Kommentare: We use Square 9 for basic document storage, AP workflow to get invoice approvals from managers. Online Purchase Order form for our employees.
Vorteile:
We've been using Square 9 for over 10 years. Very easy to implement. Forms has enabled us to provide our users with an online Purchase Order solution.
Nachteile:
Not a lot of Cons, but maybe a way to show the admins there is an update available and list what improvements are available thru updates.

GlobalSearch, formerly SmartSearch, used to be a favorite of ours. Now it lacks a lot of solutions.
Kommentare: We used to like it, but as it allegedly advances in software development, it bothers us more and more. This is not advancement, this is software regression.
Vorteile:
It was cost-competitive, but recent price hikes have lessened that advantage. Has an easy-to-configure archive setup, but its getting messier on their new web consoles. I also like the way it can be both web and desktop client, but new developments in this software are leaving us disappointed.
Nachteile:
The viewer interface is slow in launching a lot of retrieved documents. The Scanning Services to process documents runs slower than our old Digitech did, (and that's pretty slow). Their batch manager is NOT easy to use, and the new workflow interface is a mess.

Our experience with Square 9
Kommentare: For the cost, Square 9 is a good product. We have quoted other document imaging programs and the prices don't compare. For the most part, it does exactly what we need it to do and it properly stores all of our AP documents.
Vorteile:
The workflow runs pretty smooth, and we are able to get these invoices to the people that need to see them, quickly. Once AP enters the invoice, they don't need to revisit the invoice until it is time to print the check. Therefore, the process is pretty easy for the AP person after the initial invoice entry.
Nachteile:
There are disconnects often between Square 9 and our server. Some of the issues come from our end with the server, but when there is an issue with Square 9, it can take a while to get it fixed. I believe there aren't a ton of people working between our software company and Square 9, so that is probably the biggest issue we have.

Saves time even for how lightly we use it
Kommentare: Overall it is a time saver, I think it has the potential to streamline our business even further if I could get time to go through the various educational courses that are offered.
Vorteile:
When it is setup, it just works and without any issues or problems. It does a good job of connecting multiple scanned documents to a single output file following defined naming rules. This is our main use of it at the moment, though there are lots of additional functions and processes I would like to implement. It is a new application for me and was setup before I started, so I have a bit to learn before I can add things.
Nachteile:
I have found the connection to the server to be very slow and unresponsive at times. I have not been able to trace the source of the lag. There have been times the screen is unresponsive, but not clearly because the application has locked up either.

New to Document Archiving
Kommentare: We had many years of client files that we are required to maintain. We have saved so much space it is incredible, and our documents are much more secure.
Vorteile:
Our agency had always done everything on paper and we were not very technologically savvy. Square 9 got us up to speed with their training and support and we have been able to dramatically reduce our amount of paper documents with a goal of making everything electronic.
Nachteile:
Being new to document archiving, many of the processes were foreign and the terminology was unfamiliar. It was a slow start for us but Square 9 walked us though it and we were able to develop processes that worked for us.

Great Product!
Kommentare: I have never had an issue with the software or support and the support staff are AWESOME! I have attended several trainings in New Haven and always walk away energized to try something new.
Vorteile:
I like that Square 9 will train staff to become administrators and they will customize training that you need. I like the various features that are included: automation of indexing documents, document workflows, key free indexing, Image Xchange, and File XChange.
Nachteile:
There are some hurdles when it comes to JSON, etc. when you have not had experience with the language. Support is always great to assist though!
Excellent Product
Kommentare: Overall Square9 has made an enormous positive impact on our organization and we are very happy with the decision to use their products.
Vorteile:
The best part of Square9 is the visibility and fast access to documents, both in process and archived.
Nachteile:
The worst part of Square9 is that we are not completely reliant on it for our Accounts Payable processing, so when the system stops working, our entire ability to move forward with processing and paying invoices is held up until it is fixed. Fixes for those urgent problems do not happen as quickly as we need them done.

Square 9 Invoice Approvals
Vorteile:
I like that Square 9 can not only store our documents and separate them into convenient archive folders, but we also appreciate that it handles all of our approval workflow processes. From Invoices, Credit Card Receipts, to Travel Requests. Initial setup can be a little overwhelming with all the information that goes along, but the knowledge base instructions and videos make it a lot easier and quicker to learn.
Nachteile:
We sometimes experience bottlenecking of data being integrated between our CIS/FIS system and Square 9. This causes some hang-ups with workflows, scanning/auto indexing of documents.

Satisfied Customer
Kommentare: From implementation to completion, it was apparent that our satisfaction was Square 9's top priority. I'm happy to report that they earned us as a satisfied customer!
Vorteile:
The document storage feature was the primary attraction to Square 9. But what sold us on Square 9 was the OCR technology, which has automated the invoice entry process. Further, with Square 9, we are able to import that data into our accounting system. Above all, it is easy to use, which has allowed a smooth transition for all users.

Good software for small business
Kommentare: Customer service is probably the fastest of any software service. They also will assist any time I just can't figure something out in programming.
Vorteile:
Square 9 provided a technician to do the initial setup and training. Programming is relatively simple as new companies or users are added. Annual downloads are perfect for audits.
Nachteile:
There is no retention process available, so this has to be done manually as documents meet their expiration.

Record keeping Dream
Kommentare: We absolutely love having Square 9, would not want to work without it.
Vorteile:
Square 9 provides easy access to all our records and has features that help save time for staff members. Eliminates the need to keep paper copies but yet can easily print or email to people when needed.
Nachteile:
indexing documents after scanning can be time consuming.

Kommentare: I depend on this service daily. While there are other products that can capture documents, i like square 9's search and export function the best as I search and pull documents daily for clients.

User friendly. Organized workflow. Easy to retrieve records by any detail.
Vorteile:
I primarily use the program to input accounts payable invoices. Having all the invoices, contracts, tax forms, and crucial correspondence in one location is great for facilitating my workflow.
Nachteile:
The Key Free feature is a wonderful tool in theory. However, I find myself having to go back and re-enter a lot of the line items, because it captured the invoice number or date incorrectly. Also, going back and forth from Key Free to manual entry is too time consuming, that I've discontinued using that feature.

Solid software that delivers good results
Vorteile:
The core Smart Search functionality is very strong and delivers "just works" kind of results. It installs fairly easily and the server requirements are pretty minimal. I would definitely encourage someone looking at Smart Search to be certain that their reseller or integrator is well-versed in how to set up Smart Search as that will definitely impact the effectiveness of the installation and setup process. Ours was and our installation and user training went easily with few real issues. Square 9 as a company is responsive to requests for assistance and support can usually resolve issues quickly.
Nachteile:
The web interface is janky--just not well thought through and with some limitations that are not friendly to users. The client software that is more highly-featured is Windows only so if you are working with users who aren't on Windows that can create issues.

The new browser interface will bring both the feel and functionality of our LAN client to the web along with some newly added features. We are super excited about it and think you will be too.
Good solution with good customer service
Kommentare: Overall, it is a good document retention solution. When I get additional information about the additional features, it seems like an even better solution. Unfortunately, our IT department is not staying current on rolling those features out.

Most of the cons are related to how our IT department has implemented the solution. Wish it could be easier for me to be an admin to do things like workflows, etc. without having access to company wide information.

Global Capture
Kommentare: We bought this to automatically import files into a home-built system and it's worked well for that. The company has helped us upgrade a couple times and they have been responsive to issues.
Vorteile:
Configurability Able to do a lot with the software.
Nachteile:
SLOW!!!! We originally got the version that didn't have a browser interface and it was MUCH faster. I recently had a job where we needed to scan several thousand documents and pull some info from them. It's taken a week to get it done.

Highly Recommend
Vorteile:
The program is very easy to use. Their implementation team is second to none. They will contact you frequently to make sure everything is going ok and if you run into a problem, they immediately fix it or investigate it. The product has allowed us to easily find and secure documents that would otherwise be stored in an unsecured box that you could spend hours trying to find.
Nachteile:
Honestly haven't found any cons at this time.
It has been difficult to set up workflows and scripts for a complex muti company use
Vorteile:
Integration with our accounting software and the ability to search for documents with image exchange from another program
Nachteile:
Archive layout and audit trail is not very descriptive as to what was changed and by who on a document. Grids are not customization enough to be able to select sub accounts from our accounting software and combine them to create a complete GL account

I can find the items that I am looking for, I can log on anywhere, easy to log into the online system.
Nachteile:
Take a lot to search multiple items. It would be great if I could copy and past a list and search them all at once.

Excellent product, excellent service
Vorteile:
Smart software which makes document routing and management efficient and traceable. Can run backend SQL reports to monitor key metrics across document processing.
Nachteile:
Would like to see added features that are more akin to Sharepoint with the ability to multiple fields across multiple documents at once.
