Review of XTRF
Kommentare: In operations, XTRF helps us to streamline workflows and automate file handling, thus increasing productivity. In Finance, it allows us to implement a well-organized credit control, thus reducing overdue payments. XTRF also has a Sales module for handling opportunities, however, we do not use it yet.
XTRF is easy to set up and use. The UI is intuitive. Off the shelf, the product has a vast amount of functionalities, which can be customized either by users themselves or by using XTRF's customization service. One of the features we like most is business reporting. You can create reports about just any data in XTRF and even choose the way these data are visualized (pie chart, bar chart etc.) Apart from the software itself, XTRF has a great support team who are really motivated to help.
XTRF recently introduced so called Smart Projects, which allow a higher degree of automation than Classic projects. However, if projects are complex (or chaotic), we think that Classic projects are better suited. It would be great if XTRF could merge all good things from both Smart and Classic projects into one single type. Adding to this, having Smart and Classic projects can also be confusing for Project Managers.

Good product but expensive with poor support
XTRF provides excellent tools for project management and translation workflow. Its vendor database is superb and suppliers can update their data themselves, saving you valuable time. Reports are very detailed and customizable, providing you with an overview of your business.
XTRF is very expensive and their customer support / customer success team is very slow. It takes ages to fix an issue or answer to a query.
Prohibitively expensive, price increase by more than 100 percent in 2023
Kommentare: With new products coming up in the TMS space XTRF now has to compete with companies that are much more nimble, have a better and more intuitive product and have support which is more effective, more skilled and more able. First level support is slow and anything more intricate, well, it isn't great, to put it very politely. Success Managers, well, that overblown name gives you an idea of what to expect.
XTRF is generally an acceptable system. The logic of having a client portal, which most clients can't use because of their touchy firewalls and vendor portal is good, if now also common among a variety of alternative providers. The sales team was nice, but they usually are.
XTRF has a CRM feature which you can use, but isn't very intuitive. That basically applies to the entire system. It is dated and you really need to get your head around it. I reached out to the [sensitive content hidden] with some queries and a complaint about the price increase and a query about two new items on my invoice, but he chose not to respond. That is fine, and that is his prerogative. But it is a good indicator of how XTRF values customers. My major gripe is the quality of communication. The price increase was announced in a poorly written email, with scant actual hard and fast details. They now have a sort of API hit system, which may be more familiar to people in the know, but is completely new to me. The result is that my bill for the project manager seats is now lower than the NEW supplemental costs incurred by this new API system and two new items on my bill which the [sensitive content hidden] decided not to explain to me. Overall the new system lacks transparency. You get a table with API hits and how they were generated. But in 2023 that includes hits for an employee who left the company in 2022 and that account has been dormant ever since. That might all be right, but the price has more than doubled, well, and that is not acceptable. XTRF was taken over by K1 private equity in 2021 and is now one group with XTM. The previous owner and founder sold up.
A worthwhile investment
Kommentare: We rely on the xtrf system for our day-to-day operations as it automates many routine tasks. Thanks to the working CAT integration with Memsource, we save a lot of time. Of course, we have had headaches every now and then but that is characteristic of every complex system. The support team has always tried their best to find a sustainable solution. While we had quite a few issues with version 7, things are running smoothly again in version 8. Well done!
We have been using this TMS system for more than 5 years. Its functional scope has increased dramatically over the years. We appreciate the opportunity to create our own workflows to meet the individual needs of our clients. The xtrf developers have created special macros to export our invoice data to our financial accounting system (DATEV). The CAT integration with Memsource runs smoothly, saving us a lot of time. The customer and vendor portals are very useful for our daily work.
The system is complex and requires a lot of time to be set up with its full potential. It takes a while to safely operate the system and to use it efficiently.
Clear Leader in the TMS industry
Since the implementation of the XTRF our business gained great visibility over all key business units, this data empowers us when making curtail business decisions, such as sales, purchasing, automation and process. Productivity increased with continual work on automation. Training and onboarding time has also shorten significantly due to a well designed, easy user interface.
If you want a bespoke and quality system then XTRF will deliver. But it is not a cheap & quick solution. In order to be able to customise XTRF entirely to our needs, we appointed an internal Technician, for example. So if you are hesitating, mapping out a long term plan for running the system will help, because XTRF should not be treated as cost but as an investment.
Product with potential but with severe functionality issues
XTRF plays a central role in our daily operations, covering essential functions such as quoting, project management, vendor management, and finance management. It serves as a cornerstone for these crucial aspects of our business processes.
The system presents numerous limitations that hinder customization of the interface, restrict the use of more than 10 custom fields, and impose restrictions on notification templates, smart projects, memoQ integration, among others. These limitations pose challenges for power users, making it increasingly difficult for them to fully leverage the system's capabilities.
A great choice, if you can utilize its full potential

Of course, there are headaches every now and then, but that is characteristic of every complex system. I think this is the most technologically advanced TMS system on the market at the moment.
The system is really complex and offers tons of opportunity for customisation, you can run macros, connect external systems and create your own special, integrated workflows. It can really cut down on administration if done right.
The system is REALLY complex and you have no chance of realising its potential without employing a developer at least in the first few months to adapt it to your needs. It also has a steep learning curve to use effectively, and it can create a lot of unnecessary clicks in untrained hands.
Many good functions, but too many bugs that affect everyday work for a PM

I love XTRF!
What I like the most about XTRF is its ease of use, how fast it works, and how every button available is self-explanatory, just perfect.
What I like the least about XTRF is that sometimes it bugs, or just disconnects randomly.
Excellent project management tool for agencies
So far as project management is concerned, XTRF has it all. You name it and the feature is there. It allows you to personalize the system as much as needed. It is not absolutely easy, but once admins set-up front- and back-end, project managers, external translators, managers, they all have what they need here.
The only issue I have with this tool is its price. Honestly, it is so high, that any mid-size company rather thinks about developing their own tool (which has other cons; and many of them).
I can definitely recommend this for any translation agency, it will help you a lot, but be ready to pay for it.

The price seems OK at first, but when you realize how many licences you might need, than you realize that it is the biggest con of this otherwise excellent tool.
Unfortunately, one of the only viable options
Kommentare: Our experience with XTRF has been overwhelmingly negative, but the unfortunate reality is that they remain one of the only viable options for a TMS, unless you wish to build your own. There are definitely some robust features to the program that are worth exploring. We are actively searching for a new service provider, but the sad reality for us is that we have been unable to find greener grass, just different grass. Most competitors have their own major quirks and issues, so here we are.
The reporting features of XTRF can be powerful, and the automation of our financials was one of the biggest time savers for us.
The GDPR regulations required XTRF to make some adjustments, and these adjustments introduced severe errors to the day to day workings, some of which have still not been resolved. All of our templates for invoices and purchase orders went offline for about a week while we waited for the various patches to be completed. Many simple operations take way too many clicks to accomplish the desired task (saving receivables requires you to click the first save button twice, then switch to a new screen and hit a different save button. If you do not do all 3 clicks, the receivables will not be saved). The support team is consistently unable to do more than recap the problems that we are experiencing. We've had 4-5 main points of contact in my 3 years of working with them, due to high levels of turnover.

Clean interface that makes it extremely easy to create projects and assign them to freelance translators.
Pricing could've been a bit better, especially considering that there are other tools on the market that offer similar functionality and some of them are even free.

Any translator would like to have this powerful tool.
This tool is an excellent way to render accurate and fast translations.
Price is a little too high for independent translators. They should take this into account.
