Pros and cons of RFPIO

Kommentare: Overall experience with RFPIO have been quite well as it has fulfilled our current requirements of task management and workflow management.

Vorteile:

RFPIO is the amazing tool for task management as well as for workflow management as we in our team has multiple tasks that are assigned independently to other resources and these tasks can be automatically monitored by team lead.Similarly workflow management helped us to follow the pipeline that we built for each iteration of task.

Nachteile:

E-signature feature of this tool is not upto the mark also it don't provide more varieties of docs in customised documents section but we can create different instances of the same using valid methods.

Responsive at Work

Kommentare: Excellent, we like the collaboration with all team members and the Q&A setup.

Vorteile:

Ease of proposal creation, and the ability to have an easily accessible and up-to-date content library.

Nachteile:

We had some initial issues with answers not uploading correctly. It was resolved with the customer service team.

Not that useful

Kommentare: Not good. Very frustrating using this product. I wish we used another tool.

Vorteile:

The progress tracking is nice and the ability to tag people for help on questions is useful.

Nachteile:

The search is terrible. It constantly misidentifies what I'm searching for and shows completely unrelated results. Searching for answers is our main use case for this tool and it fails pretty miserably. I waste a lot of time in Responsive looking for things that should be straightforward. Its always a crapshoot importing documents, a lot of time it messes up identifying the right questions and answers and i've lost track of how many times the answers get exported to the wrong cell.

Great tool

Kommentare: Overall, very positive. Right now it is a central part of our working process, so I cannot see myself going back to no tool, as it was our case.

Vorteile:

That it was very easy to start working with, and that we have all the previous content in a very accesible way. The reports we receive are great, as we can have an overview of the projects and create stats on how we are working.

Nachteile:

We need to work very hard to keep everything updated. We have too many products and sub-companies, and therefore it is very difficult to use the AI automatic answers. There are many applications we are not using because they are limited to the admin, so I dont think we are using the full power of the tool. But that is more on us, I guess.

The way it makes our lives easier to handle RFP's is just amazing. Lots of options like content library, reviews, etc.

Everything's almost perfect I would say as I didn't find any noticeable fault.

Great platform for content, project, and knowledge repository!

Vorteile:

Ability to easily manage and see which projects teammates are working on. Ability to assign sections of proposals/RFPs to specific team members. Ability to import customer RFPs into platform and export easily.

Nachteile:

Sometimes the search may not return what you may be expecting. Tags are a feature which can be used to help you categorize what you are looking for.

A necessary tool

Vorteile:

Import and export is a game changer. I like the Slack integration.

Nachteile:

The UI can hide features in unusual areas.

A Great Content Storage and Organization Resource

Kommentare: Overall, our experience with RFPIO has been very favourable as it allows us to store, organize, and reuse information repeatedly and efficiently. Organizing the framework of proposals is also very easy and sections can be reordered, added, and removed with ease. A great time saver is the ability to use templates and even clone a previous project to get started quickly.

Vorteile:

What I like most about RFPIO is the ability to store content and knowledge in sections and answer format. Once populated with verified content, it reduces the resources required to compile a standard proposal and the author and reviewer functions streamline team contributions. Custom merge fields, categories, keywords, etc. offer a lot of flexibility over how you organize and retrieve your content.

Nachteile:

Although RFPIO is a great resource for storing and organizing content and knowledge, it's limited control over the formatting of the content means that exporting proposals through multiple iterations can be time consuming. Word templates do a decent job of providing a base look and feel but working with things such as line spacing, tables, etc. is finicky and image quality from RFPIO to Word document to PDF can result in poor end quality. Once I have compiled the bulk of the project and exported to Word, I tend to continue with Word and then am forced to go back and update any content changes in RFPIO to reflect the final results. It is not efficient to make changes and re-export each time.

Incredible software - changed the way I work on proposals.

Kommentare: Fantastic. I've worked in the proposal industry for 8 years, however I've only been with Tenable - and worked with RFPIO - for a year. When my boss introduced me to RFPIO, I almost cried thinking about all the time I wasted with other proposal management tools in the past. RFPIO is the best - whenever I'm on a call with my sales engineers introducing them to the software, I make sure to tell them that this is bar none the best proposal management tool I've ever used. Really - phenomenal job! I'm highly satisfied.

Vorteile:

Generally speaking, everything about this software is incredible. My absolute favorite feature of RFPIO is the Answer Library, specifically the Recommendations toolbar, and how accurate it is. I'd previously worked with Microsoft Sharepoint, which offered no such functionality, and working on proposals was way more tedious and time consuming than necessary. RFPIO fixes that.

Nachteile:

Sometimes RFPIO has a hard time formatting certain files - which is understandable, seeing as different clients present different RFP formats. My two biggest issues are that certain tables, especially in Word format, have to be formatted in "Table Properties," rather than simply being able to click on a cell and making it a Question, Subquestion, etc. Secondly, I'm often presented with situations where the client's designated answer space is in the same column as the question, just a row down. I don't believe RFPIO can recognize this yet.

Great for a range of proposals

Kommentare: The only benefit I have realized this far is the overview and status of the project. Everything else makes my job harder.

Vorteile:

Being able to view an Overview of a project is impactful for proposal managers, showing the completion status, flags etc.

Nachteile:

For large projects, RFPIO is not ideal. Too much clicking to get to sets of questions. Not enough formatting options for ingestion, for example, we receive a lot of RFPs with varying types of checkboxes, RFPIO cannot accommodate this. Its too cumbersome for large RFPs for the proposal manager. For the responders, I believe its more helpful.

Not Weighed Down by Old Technology

Kommentare: I love it. As the person administering the proposal process, this is an easy tool for updating content and quickly accessing answers.

Vorteile:

RFPIO is easy to use, frequently updated, and always evolving and improving. It is NOT an older product with a facelift - it's an entirely new way of doing things. If you're looking for a change - and you're open to doing things differently - the efficiencies are yours to gain. Updating content is very simple, and the UI is extremely intuitive.

Nachteile:

My SMEs are resistant to it -- they complain that working within the system is more work than working in the Word doc. I think it's a comfort issue, and there's no simple, straight-forward user training I can point them to. I wish they had training modules. Like, I am a SME - I am assigned this training module to teach me all of the skills I will need.

RFPIO review

The functionality and ease of use. It is easy for us to assign it to some other people that we need in collaboration with the project

Nachteile:

None so far, we are still currently exploring some other functionalities and integrations but so far we dont have any issues with it

RFPIO Makes Proposals So Much Easier

Kommentare: RFPIO is easier than anything else I've used. It's intuitive, user friendly, and has made it simple for multiple people to collaborate/work on the same proposal.

Vorteile:

The answer library and the recommendations feature make pulling a first draft together faster, easier and so much more efficient. The ability to assign a question to a guest, which then sends them an email and their response goes right into RFPIO has saved me a ton of time and follow up. And their support is first rate; any time I have a question if it's not in the Help section, someone is there to respond.

Nachteile:

Setting up templates and then exporting responses into the templates is time consuming. But once you get the process down it does make it easier.

Quick and Efficiently respond to any size RFP

Kommentare: I am tenured in my position as a Solutions Consultant and have participated in many RFP's over my career. After joining my current company and within a few weeks after coming onboard, I was asked to use RFPIO after reaching out to our RFP team for assistance. With little training, I was able to navigate the system, respond to questions, search the database for previously loaded content and mark answers complete with a couple of clicks. RFPIO allows you to significantly reduce the amount of time it takes to respond to an RFP as well as track yours and that of your teams progress in completing your assigned tasks. It is an extremely simple product to use and helps eliminate that anxiety normally dealt with when responding to large RFP's

Nachteile:

Trying to figure out how to load questions or an RFP into the system. In fairness, I did not have much training on how to do this and tried it a couple of times on my own before asking for assistance.

Game Changer

Vorteile:

As our team's content manager, RFPio has made my job significantly easier. The moderation queue has given me oversight over the content being produced by our team, and makes it much easier for me to maintain our content library. And the library interface search makes finding content a much better experience than our previous content management tool. By switching to RFPio, we feel like our proposal team's content library is in the best shape it's ever been, with up to date content, tighter control, and better metrics and oversight. Further, by using RFPio projects, we're getting better data around how long our projects take, the manpower required, and our overall workload.

Nachteile:

Elements of the RFPio projects interface are difficult to understand. There are too many places where a click opens up a menu of buried options. Having these consolidated into one place would make the UI much easier to navigate.

Great RFP Management Tool and Knowledgebase

Kommentare: Great tool for responding RFPs quickly and easily. Answer library (knowledgebase) is extremely easy to manage

Vorteile:

Ease of use, project management, team collaboration, suitable pricing model.

Nachteile:

WORD template management needs improvement.

RFPIO - Best Solution for RFP Collaboration and Automation

Kommentare: We were able to save over 1,000 hours in the first five months by designing and building a customized, scalable and repeatable process for handling a large number of RFP's and IT Security Questionnaires. RFPIO easily allows us to invite multiple contributors, authors, and reviewers to work collaboratively on projects.

Vorteile:

I compared RFPIO to 5 other companies (Qvidian, Xiat, Loopio, RFP365) and came to the conclusion that RFPIO offers the best platform and pricing structure. Based on my experience with other well known systems, RFPIO is designed with the end-user in mind. It allows for collaboration among SME's without having to acquire additional licenses. Very little training is necessary to use RFPIO and they have been adding new features without creating complexity.

Excellent cloud solution for managing RFPs/RFIs.

Kommentare: We came over from RFP365, while that was a decent solution, RFPIO turned out to have some more compelling features. What helped us unlock those features were great training sessions to really experience the product. We also had some real specific requirements and they enabled them for the very next day! Just fantastic customer experience.

Vorteile:

Looks very attractive. Organized well by projects. Import features are best in class. No more needing to import from a template, we can import right from a spreadsheet the customer gave us!

Nachteile:

What we like least the right-hand side panel, we wanted more selections from a list. As well as an Apply button so not to have to copy-and-paste. When we met with them and described this feature, they enabled it the very next day. Just such great customer service.

Most Effective RFP Software Available!

Kommentare: After spending years vetting/trying a myriad of inferior RFP management software and applications, I can't recommend RFPIO highly enough. The software is easy to use, intuitive, and the highest quality solution for all our needs - with features we didn't even know would be invaluable until we used it! RFPIO's customer support and account management teams are extremely responsive, pleasant, helpful, and have ensured a seamless implementation/adoption at every step of the way, with ample training and hands-on assistance. Additionally, they genuinely take our feedback to heart and have developed new solutions for requests that are unique to our company's environment/usage. This has enabled us to significantly streamline our RFP process and increase productivity. The answer library is particularly valuable!

Vorteile:

Difficult to choose! The software itself: The automated workflow, ability to assign whole sections or individual questions to team members, project tracking, answer library, proposal templates, etc. In general: The customer service is unparalleled.

Nachteile:

There are a few minor glitches with text formatting when uploading previous proposal responses, but they are aware of these and I expect a timely resolution.
