Great Repository

Vorteile:

Policy Manager provides a great central repository for policies and other documents. The ability to have reminders sent out for review periods is one of the best features

Nachteile:

One challenge that we have found is working on projects with multiple reviewers/editors. The project process seems to be very linear and does not have as much multitasking functionality as we would like.

Kommentare: Very happy except the items described below. For group sign off situations such as our Shared Governance process where there are a group of leaders who complete a sign process after concensus, is there an easier way to have numerous signatures at one time.

Vorteile:

For staff to find a policy is easy with key word search or by folder.

Nachteile:

I would like to be able to add other category sections without more purchased services. (such as other items for staff to have full access to and be able to search. The main Cons we have 1)setting up projects each time is extremely time consuming. All of the previous items, titles, names should come back prefilled and simply make a date change. 2) When staff go to complete their task, it is frequently just "updated" and we have to call and walk through it each time; when you click on "My projects", the screen should either be blank when you access it or not have to click on author/approver under my tasks first. The two step process is confusing when they already see their policy on the right side of the screen and try to work on it from there.

Does one thing and does it well

Vorteile:

Does what it says on the tin. A simple web application to manage edit and secure policy documents.

Nachteile:

You only have access for as long as you subscribe to the service. Make sure you have another plan or can export your policies if you change products.

Policy manager

Kommentare: very happy with programs, just needs a few small tweaks.

Vorteile:

Ease of use for staff by key word search or by file folder for each department. Ease of printing.

Nachteile:

We do not want a link in the email notification; it does not work correctly and we spend too much time walking people back into the program with logging in. Also, when starting a project, you must enter all the title and notes information again, but would prefer it prefill from previous time and can alter if needed. The third request is the duplication of having to open the project tab, click on which role you need and then to click on the right hand side; if you do not click the role first, but click on the right hand side, we get tons of emails of people "updating" and they are frustrated thinking they had completed it instead.

Like a swiss army knife

Kommentare: Great program, but switching an entire organization to a new document management system is incredibly complex and difficult. I wish I could say the transition has been cleaner, but I don't think it has anything to do with the PolicyManager system.

Vorteile:

Lots of functionality and great tutorials. If you are willing to spend a few minutes to get to know it, the system is very intuitive.

Nachteile:

Not being able to lock down specific documents to specific people. For example, if I grant a user privileges to edit a document, they have the ability to edit any document without the document owner's approval. Would be better if edits to existing documents could only be initiated by the document owner.

Vorteile:

Ease of use: it is easy to use and very effective for adding new accounts and provisioning

Nachteile:

would like more functions for auditing (IE: last login date, location)

POLICY STAT CHAMPION

Kommentare: Producing policies for a regulatory survey is much easier in this "living and breathing" format!

Vorteile:

I had used this software at a prior employer. I recommended it to my current facility and am the point of contact. It is very easy to write policies as well a retrieve them.

Nachteile:

Our old timers still want to print policies on paper and make them available to their staff.

Kommentare: Duplicate policies and discrepancies across policies have been easily resolved with our PMS!

Vorteile:

Ease of implementation as well as helpfulness of everyone on their staff!

Nachteile:

Some things are still a bit confusing, such as bulk review, as well as it would be beneficial to add another level of permissions.

Kommentare: PolicyManager provided a great onboarding and start up experience. Their team kept us on track and provide valuable insights into getting started with the tool.

Vorteile:

PolicyManager allowed us to consolidate policies in one easy online platform, improve version control and help streamline the user experience.

Nachteile:

The project mode can be a little clunky.

Review

Vorteile:

- Ease of upload - Running Reports fairly easy - User Friendly

Nachteile:

- Creating projects and assigning people is very tedious, time - consuming and frustrating

Policy Manager staff are most helpful when issues arise. The Software is simple to use.

Kommentare: Easy to use. Aids in maintaining document control of Policies.

Vorteile:

It helps us attain our goal of document control, which is an ISO 9001 requirement. Policies are reviewed and updated in a timely manner due to email reminders.

Nachteile:

Would like for the reminder emails to show the entity that the user uses, instead of the first entity listed in alphabetical order - this is confusing to some people. We have 12 entities at our health system.

Great product to keep your policies organized and up to date

Vorteile:

Many functions to personalize to your organization such as folder creation, and role creation which makes it easy to use.

Nachteile:

No clear directions on policy flow. Many steps that have to be completed to just do an annual update.

Policy Medical

Kommentare: Overall it has been good. We would have liked to have had some guidance in establish process behind the software. Some lessons learned form other customer sites.

Vorteile:

Easy to use. Good search features. I like the ability to use software for policies and other key documents.

Nachteile:

Would like to have more ability to customize fields and change defaults/ required.

PolicyManager's customer service and flexibility is impeccable!

Kommentare: PolicyManager's customer service is exceptional. They are always willing to assist you with an issue and also assist with customizing the application to fit your organization's needs.

Vorteile:

Ease of use, the way the software is set up, and overall functionality of the software.

Nachteile:

The search functionality could be a little more intuitive.

Good

Kommentare: It is easier and usually faster to get the information from Policy Medical than to wait on someone else to forward it to me.

Vorteile:

I don't have to wait for someone to get me the info in order for the policies to be added to the Medial Executive Committee because it is already on the site and I can download it from there.

Nachteile:

It's cumbersome to save a policy from the site to our internal website in order for them review and approval by committees

Ease of use and folder like structure to display policies. Easy search. Ability to view and/or print document in PDF but also download Word or Excel versions as well.

Nachteile:

Inability to assign individual users rights to a document. Document reading rights are by department. Minor inconvenience

Happy with Policy Manager

Vorteile:

Easiest way to consolidate policies electronically.

Nachteile:

When you use full edit instead of quick edit and have to go through a lot of steps to get the policy published.

Kommentare: Easy to change policy with tracking capability. Love being able to find any policy I need within seconds. Great customer service.

Easy to use. I love the search functionality.

Nachteile:

Hard to know when a new policy is added.

Policy Manager Review

Kommentare: It has worked pretty well for us. Didn't take long to get everything uploaded into the system. Users are using it and seem to like it.

Vorteile:

It's very well organized. Easy to use and search for policies.

Nachteile:

I don't know if it's able to interact/integrate with other software, but that would be nice. We use SharePoint so it would be nice to have it within there instead of going to a separate site.

Great product!

Kommentare: Overall experience is very good. It certainly beats a standard document repository system; I'm happy with the system so far.

Vorteile:

It's great at keeping policies consistent. I like the ability to add branding, approval headers, review period alerts and previewing.

Nachteile:

Some features aren't the most intuitive (e.g. when "draft" vs. "copy" is applied as watermarks), and I've made recommendations to change. Their customer support is very nice but it's been a little difficult to get my points across to them.

Not a smooth start, but the functionality is solid once you're up to speed

Great job of handling multiple policies and making them easy to manage, update, and audit.

Not as intuitive as we would have liked; took a long time to ramp up to being able to use it with any kind of speed or confidence.

The use of the software is confusing and lengthy to complete a task.

Kommentare: My personal experience has been "hit and miss" with trying to complete tasks assigned to me. I complete the task and hope that what I did will push it through to the next step but aren't always successful and need to do it again. For those who just need to access the software to read the policies and procedures in the folders that seems to be going great. Is it possible to eliminate some of the steps in "project mode" to make the updating and creating of documents easier? I am tasked with assisting other staff when they have questions on how to do the project side of the software and I find trying to explain it to someone else very difficult and we just end up fumbling through it and hope the it's beign done correct.

Very user friendly and easy to maintain.

Kommentare: We have implemented Policy Medical just over a year and half ago and it has made such a difference to manage policies and procedures, starting at the corporate level all the way down to the specific Homes. We really like the ability to link the url address of each policy to our e-learning platform, this way we can be assured that only the current policy is being reviewed by our employees. Thank you Policy Medical.
