Best Customer Support Ever!

Kommentare: Our overall experience with PayHOA has been great. They are very supportive, and are always open to hearing our suggestions. Utilizing PayHOA has saved our small HOA over $3K this year alone.

Vorteile:

Our small HOA decided to become self-managed in late 2021. After lots of research, we decided to go with PayHOA, and I am so glad we did! While our initial data entry was a little difficult due to my lack of an accounting background, the customer support team was awesome. They spent so much time answering my questions and helping correct my mistakes. They were always cheerful, helpful, and caring. I could not have made it through without their ongoing, constant help. [SENSITIVE CONTENT] were two of the support team I dealt with most, but the entire team was outstanding. For this reason alone I would especially recommend PayHOA for a volunteer group such as ours with little to no accounting background.

Nachteile:

There were no clear-cut instructions on what should be entered first, which caused me some double work. However, for someone with a background in accounting, this would probably be apparent and not be a problem.

Kommentare: My initial experience with PayHOA was a little challenging but I quickly caught on to how everything functions. Some Board members wanted to engage another more established company but the cost and support from the large corporate firms can't compare with the support from PayHOA. This was the best choice for my 300 unit HOA community. I'm so pleased that I paid for the full year with a discount.

Vorteile:

PayHOA was free to setup and use for the initial 30 days. The software team was readily available with 24 hours notice to link up and explain any functions. I had a few enhancement requests that were implemented within a few hours. The PayHOA team always responds to my email requests within 24 hours and they are available to work with me on my schedule. I couldn't be more pleased with their service.

Nachteile:

There is not a lot of draw back issues with PayHOA. I've been using the software for a few months and everything is going great. I did have some issues looking for the ability to print individual invoices as they don't appear on the owners unit menu. My software consultant was able to quickly show me where to find the PDF print function.

Wish they helped their customers more

Kommentare: Sure, they are responsive and even quickly but the answer is always NO. I have asked for so many things and they are just say well, we're sorry but we can't. We were initially sold on this software based on the ability to link to our bank. We had significant trouble linking and they were like sorry that wasn't a guarantee. Kind of a bait and hook in my opinion. Next, I ordered over $600 worth of envelopes from the USPS, so I just assumed it would fit their invoices since that would be the standard. Again, the HOA board is an unpaid position so anyone on the board wants to work as quickly and efficiently as possible. When I reached out to ask them to update our invoicing template, they flat out said no. I need the addresses tabbed over by one. This is absolutely do able in any situation. It would be a back end adjustment within their template department, but they just couldn't help with that. It's such a shame that they are not pro customer. But their solution is for them to print and mail themselves for a fee. I'm not interested in that and I know it will create confusion with our homeowners as well. I just wish that as a paying customer, I was listened to and heard. Adjustments can always be made, PayHOA is just very unwilling.

Automated payment and easy for homeowners to use to pay dues.

Hi Danielle, I'm really sorry to hear about your experience. We always aim to exceed customer expectations, and I'm sorry if we missed the mark. I would like to provide some context to the two issues you dealt with. Our bank integration is through a company called Plaid. They are able to pull transaction data from about 12,000 financial institutions. I apologize if this was overstated when you looked at the product. There are rare cases where a local bank is not supported. Unfortunately, there is not a way for us to add a bank to their network. We do request they add banks to their network if a customer's bank is not supported. I'm also very sorry to hear that the envelopes you purchased would not work with our invoice template. Our invoices are mailed in a dual windowpane envelope. That is the only envelope option our direct mailer allows for. It displays the return address and mailing address through the envelope windows and requires a very specific PDF format to fit.

Kommentare: Very easy to utilize and navigate. Chat option is wonderful along with the video tutorials, etc. I think the software will get even better over time.

Vorteile:

User friendly, onboarding very simple for new owners. Communication tab is a good tool as well.

Nachteile:

Inability to print checks directly from PayHOA. Inability to go back and edit a transaction (memo line etc) after entering a transaction.

Kommentare: PayHOA has been a wonderful experience. Our small association of under 50 homes has been relieved of rising homeowner dues and has actually been able to offer all of our homeowners free trash service as a result of these savings.

Vorteile:

Ease of use. Accounting capabilities. Set up of violation as template fir multiple use. Every transaction entry has ability to upload proof documents.

Nachteile:

I admit it was scary going to self-directing HOA from a continual full service property management group, but there were no Cons to consider with PayHOA.

Pay HOA has the perfect mix of tools for any HOA

Kommentare: So far, PayHOA has been stellar since we've implemented it. It has only gotten better as time goes by.

Vorteile:

We were looking for a system that could track most HOA member's dues and be able to automatically bill, notify and assess late fees as required. PayHOA makes this very easy and streamlined. We have far less billing issues and spend almost no time on it versus doing manual checks or deposits to our HOA checking account from the members.

Nachteile:

Most of the issues revolve around contacting tenants of owned properties. It's not super clear to be able to make a sub-contact group of owners / renters so that notifications about local happenings such as street cleanings, etc can be communicated to the people that actually live at the residences.

Kommentare: PayHOA is the best money our association has spent. The staff and technical support is unmatched to any service I have paid for in the past. This software has enabled our board to go nearly paper free and allows us to keep reference materials in one spot for future boards to review.

Vorteile:

The ease of tracking expenses and income; creating and printing financial statements for member meetings and our year end accounting needs; the ease of providing group emails to members; and the ability to store files for member viewing (minutes, rules/regs) and board of director use (quotes on projects) in one place is a great benefit.

Nachteile:

Tracking capital expense projects. It would be nice to better track the payoff of a loan.

Vorteile:

Ease of use. I have basically been able to teach myself how to use the system. But when I had a question, I could count on getting an answer usually within minutes. It also seems that most homeowners are happy with the system. The program is exactly what I had hoped it was. Awesome!

Nachteile:

I can't think of anything right now. I have yet to look deep in to the reporting available.

Kommentare: The initial search for a system like this showed that they are very responsive to questions and they have continued that with any support requests. The ease of setting up owners/renters and tracking payments is a breeze. Highly recommend!

Vorteile:

Being able to track the units as well as the owners and renters and offer online payment options was the reason we went on the hunt for a system like PayHOA. Being a small self-managed building we wanted something easy with options for further accounting needs as well as great support as needed and we found all that w/ PayHOA. It's easy to see where everything is and anytime we have a question we receive a quick response. Super helpful and really simple to implement.

Nachteile:

While there are many features we don't use, the only con is really the ability to have more robust accounting, allowing us to setup vendors to invoice and have them pay us without the need to create a fake unit for them. Google/Apple Pay are also tenant requests that aren't available at this time.

Kommentare: Onboarding was horrible. Tutorial was easy to follow.

Vorteile:

Affordability, however you pay for what you get.

Nachteile:

Cancelation on their pdf mailer. They say you have 5min to cancel, however there is no option for you to cancel as the user. So, if I'm working late I need to make sure that I wait the following day to contact them just in case I need to cancel. And that's if they pick up due to the coronavirus. Unfortunately, I have already committed with my HOA to this software. If that wasn't the case I would go to tops.

Hi Harry, I'm very sorry to hear about your negative experience with our customer support team and our platform. I do see that you emailed us to cancel a PDF mailer the day after it was initiated. Unfortunately, our mailer already had the job in production and could not cancel it. I'll make sure we add some language to the confirmation page to make it clearer that submissions are final. We are looking at other direct mailers that offer more flexibility for cancellation, but it's a difficult balance because our clients also want their mailers put in the mail as quickly as possible and cancellation windows slow that process. Efficient and excellent service from PayHOA

Vorteile:

Easy to manage the HOA business. Functionality and ease of use for both the admin and members.

Nachteile:

Documents are house under one section. I wished I could attach a document to a unit and not have it show up with all of the other documents unrelated to the subject unit.

I would recommend this service to anyone who is looking for an easy to use software program to kep track of your HOA finances.

Vorteile:

The customer service is fabulous. They respond immediately with the answers to your questions or they fix the problem and tell you how they fixed it. If you still don't understand they screen shot you the diagram so you can see exactly what they did.

Nachteile:

Sometimes i get frustrated when i cannot figure something out on my own. Thats why i really like the customer service.

I am new as an HOA treasurer. Our previous records were custom made in generic spreadsheets. The functionality provided by PayHOA software is a real step forward in organization and transparency with our HOA unit owners.

Takes a fair amount of effort to learn new software and the processes it requires.

Why oue HOA Board of Directors is Impressed with PayHOA

Kommentare: We have realized a large monthly savings by switching to PayHOA. Besides the monetary savings, it has saved us from so many headaches! It seems to work all on its' own once you set up parameters.

Vorteile:

There are two things that come to mind first and foremost about this application. First, it has an long list of capabilities (probably most of which we are not using YET) which will make our Accounting and Neighborhood Management system a quick & easy process saving time, money & effort. Secondly, as we worked to set up this program, it was very user-friendly and when we had questions and needed human help, it was super easy to get someone on the line and your CS team members are smart, know the program well and seemed eager to help!

Nachteile:

Well, so far there is nothing to like least about PayHOA!! We are still learning the vast capabilities of this app so don't use all that's available to us but so far, this is wonderful!

Kommentare: It has been great as an HOA Fee invoice and collection System.

Vorteile:

I have only used the Invoicing and Payment module. It is easy to use and has a lot of functionality.When the developer turns over the building to us in November/2023 I look forward to using all the other modules. The biggest challenge will be integrating a Mexican bank into the System. Otherwise PayHOA handles Pesos just like they are dollars, in fact the symbol for a Peso is $.

Nachteile:

How can we make it handle a Mexican Bank? This is not a Con because PayHOA was not designed to operate in a foreign country. There is a simple way to trick the system into accepting a Mexican Bank, even if we don't use any functions, e.g., taking payments or online vendor payments.

PayHOA is perfect for our 400+ member POA

Kommentare: We moved all of our accounting from another software product and all of our members' records from Access to PayHOA. The support I have gotten from the folks at PayHOA is hands down the best product support I have ever had with any other company, and I am an IT person. They answer questions promptly, help with any issues, and we have had very few issues. I couldn't be happier!

Vorteile:

I really like having the accounting and records management all in one place. I really like that I can use PayHOA services to mail the annual invoices. It saves me hours and hours of time.

Nachteile:

One thing I would like added is the ability to query the data, like you would an SQL database.

Kommentare: Easy implementation. Good automation of ongoing management tasks. We brought HOA management in-house, saving management fees. A volunteer is able to perform the management and financial activities with minimal time required.

Vorteile:

Easy to implement. Automates most of the HOA management activities that we once paid an outside firm to perform.

Nachteile:

We've been pretty happy so far (21 months).

Easy to use - Adopt in minutes

Kommentare: I really enjoy the system. It is in the mid-range of pricing and comes with all the bells and whistles you need to manage a small, or even a large, HOA. I went from having to "work" on the HOA weekly to only working on it quarterly.

Vorteile:

I really loved that PayHOA was so easy to use. I was able to adopt the product in minutes by taking the excel spreadsheet I was using to manage my HOA and importing it directly into PayHOA.

Nachteile:

When I was importing my "units", it wasn't super easy to import payment history. That was a little annoying. I did find it very easy to put in an enhancement request, but honestly, I didn't lose much value long term by not having that feature.

Very easy to use and at a very good price. The customer support is very quick to respond if you have any questions.

I have not found a con with PayHOA because it is so user friendly.

Kommentare: PayHOA solved our work order issue with a system that allows owners to submit a work order and allows the users to track them.

Vorteile:

I was looking for a software that incorporated work orders, accounting, communication and maintenance tracking. PayHOA offered all of these features. The software is easy to set up, although it could use more customization options. It is more than sufficient for what we need. Homeowners can pay their fees online and it is deposited directly to the bank.

Nachteile:

It could use more customization as well as an area where admin could store owner documents and information internally.

Great product value, easy to use, but may still be a bit glitchy.

Kommentare: Overall great. I wish there was a phone number to call for customer service. They never answer. Only way to contact is through email. Response yikes are typically quick it sometimes issues can take 5+ biz days to resolve.

User friendly for smaller organizations.

Nachteile:

Sometimes feels like a beta version of software was released before the final product was perfected.

I love being able to track expenses and allowing our homeowners the transparency they should have for all expenses.

Nachteile:

I don’t like that I am unable to give access to specific reports, rather than all reports which contain PII.
