Better Than Others With Room for Improvement

Kommentare: eFileCabinet support has been quick and resolved any questions/concerns that I have. The price is higher than others but you get more features than lower-priced programs.

Vorteile:

The ability to customize sharing so much; granting access without individual having to have separate account for program; preview pane; branding ability; multiple viewing panes at once; audit trail easily accessible; folder templates; e-signature in program

Nachteile:

Invitation email 24 hour timeout; inability to select multiple files that aren't listed consecutively; drop down for filing is visually a little difficult to differentiate between; works better in certain internet browsers; Gmail will not allow as third-party app because level of security not high enough (for pulling in emails)

Worth it!

Kommentare: We have had an excellent experience with eFileCabinet. The customer service team is very responsive, our sales person is well informed on the product and can easily direct you to the team member who will be able to assist you with a problem. The trainers are patient and are willing to advise on the set up of your files. Our trainer, Kevin, knows EVERYTHING about the product, and is willing to do multiple sessions for us to make sure that we understand how to use the product.

Vorteile:

eFile Cabinet and the associated Rubex software make moving from paper files to digital files easy. The various add-ins provide access to the system from your email, PDF, MSExcel, and MSWord. Once uploaded, the files (and their contents) are easy to search. An additional feature that is particularly useful for our team is the ability to allow a "guest user" to access files for a limited time. This is a lifesaver for managing audits and allowing employees to access and view documents in their file. The best feature in this software is the "help" automations that literally walk you through the different activities you may want to accomplish in the software.

Nachteile:

This software can be used be a team that does not have a "plan" for moving to a digital platform, but that is very unwise. It is easy to begin using it right away; the biggest challenge comes in the set up and administration. There is a definite learning curve, and the training that is offered should be readily accepted -- it will be needed, and it is very helpful!

Outdated Document and Media Share

Vorteile:

In the beginning I did find it somewhat entertaining.

Nachteile:

It never really has advanced technologically to make a big difference. There are many of their apps that provide the same service and more.

Alfresco Enterprise Alternative

Kommentare: We needed a modern, robust, cloud-based document management system for long term digital archiving. Overall eFileCabinet has served our needs very well.

Vorteile:

The conversion team saved us from an aging system that we needed to abandon. The Cloud Server being the same cost as an on premises server was a great incentive for choosing eFileCabinet. The Cabinet -> Folder structure is easy to understand and navigate. The ability to share large files with users outside of our organization easily has also been a boon.

Nachteile:

Search is powerful, but due to the Alfresco Enterprise system we imported from relying on metadata tags for search, very particular steps are needed to use the search in eFileCabinet's Rubex properly. It's confusing for our core users sometimes. I'm not sure if I would feel differently about Rubex's search functions had we started our digital archive in Rubex, but as it is this is a function that is mildly frustrating.

EfileCabinet Document Management System

Nachteile:

I wish I could pdf from lacerte into efilecabinet, but its not that big of a deal to just pdf to my desktop and then drag and drop into efilecabinet.

Ok software with so-so customer support.

Kommentare: I like the software, it has a ton of potential, just still a lot of bugs and glitches that are frustrating and counter productive, especially on Mac.

Vorteile:

It is a great software for document management, version control and document sharing. It has been very useful for our 5 employee team.

Nachteile:

Customer service is so-so and since the software doesn't work very well on Mac, we've encountered many issues over the year we've used it. It is unfortunate because it works very well on PC and if they could make it as good on Mac it would be amazing. My biggest issue is that it is sold as Mac compatible, but every time we run into an issue on Mac, the help desk always struggles to help us. For example, we haven't been able to use the software properly for over a month now and the problems still haven't been fixed, which is very frustrating.

eFile Cabinet and SecureDrawer

Nachteile:

I need a workflow management solution which is not included with eFile Cabinet.

Files on Secure Drawer are not very Secure

I like the layout but the admin functions and user experience is very poor.

Nachteile:

File protection and restore functions are lacking. They are not as robust as a basic PC would be. Tech support is not helpful and they do not have the capability to assist the user. I selected a single file, and an entire directory was deleted. No warning, no way to recover! I could see in the actions that I deleted 99 files, but I could not undelete or change the action. I lost a lot of time and money because of Secure Drawers poor software design.

Efficient way to collaborate on documents

eFileCabinet is an amazing content management system

Kommentare: Overall, eFileCabinet is a great document management system with powerful features and security. It is perfect for businesses that need to manage and protect their documents securely and efficiently. With a few tweaks to the user interface, it could be even better.

Vorteile:

I absolutely love the security feature of eFileCabinet, as I can rest assured that my documents are protected with encrypted security. The automated workflows feature also make it simple for me to quickly and easily set up document tracking and accessibility.

Nachteile:

The one thing I dislike about eFileCabinet is the cost. It is expensive compared to other document management solutions, but its features make it worth the price. I also find that the user interface could use a little bit of improvement in terms of convenience and ease of use.

A safe space for records Management

I can manage my files on the cloud while they are kept safe. I can share them with anyone. I can inout a signature to show authenticity

Nachteile:

Sometimes when sharing files, recipients complain about failing to access them. I failed to figure out the problem

Kommentare: Our investment into eFileCabinetOnline has not produced what we had expected and what we had discussed when the product was pitched to us. The functionality lags way far behind our predecessor ShareFile. The linking between EFCO and SecureDrawer is great except there are so many limitations and issues with the new version of SecureDrawer that many of our professionals and many of our clients at times dread using your product (which affects our business). The fact that versioning still gets displayed in England time in EFCO is a joke. When we called it was said this will hopefully be worked on but not likely in the old Out of Browser EFCO. I understand upgrading to the newest versions because we did that immediately with SecureDrawer due to the catastrophic issues with your products and Silverlight which cost our firm a lot of money trying to use the product and dealing with our client's issues accessing files. Anyways, we switched over to the new SecureDrawer and permissions all changed for our administrative staff, there are fewer options to be able to customize who has access to what, and we can't even use the filter search to find drawers unless we have already scrolled down to that area of the alphabet both on the left and middle panes of the product. When I called support, I was told it was "on the list" but likely wouldn't be addressed soon because of all the issues with the rollout of the new version (this was in mid-June 2016 and there's still no improved functionality....) Other items you may want to consider when I compare you to ShareFile. Your notifications no longer provide much detail that is helpful. It would be helpful to know what folder of a drawer a file was uploaded to or downloaded from. Another area ShareFile has a leg up on you is that you could send an email to a guest user along with a link to the specific folder in their drawer that you would like them to upload files to (it helps greatly with administration). Their batch uploads were much more efficient and worked more often than yours do. On the eFileCabinet side, I will investigate the newer version along with sidekick to hopefully see that resolution to issues in the old version was addressed but based on our experience with your products that's unlikely. I apologize for the tone of this experience, but I have lost numerous hours and our firm has lost money related to dealing with issues related to your software. I would greatly appreciate a call from anyone from EFCO.

Our investment into eFileCabinetOnline has not produced what we had expected and what we had discussed when the product was pitched to us. The functionality lags way far behind our predecessor ShareFile. Versioning doesn't work in eFileCabinet. Filtering doesn't work in SecureDrawer, you cannot download multiple files or sometimes upload multiple files at once without issues or errors. Permissions in SecureDrawer do not have many options. Notifications are in general not helpful. SecureDrawer itself is not as good as Citrix's ShareFile for example wherein ShareFile you can direct a guest user to a specific folder with a direct link. When they click the link they can log in and find themselves in the exact folder or subfolder in which to upload. You also could have different permissions for different subfolders instead of only being able to change permissions at the drawer level. Overall the cons definitely outweigh any pros we have experienced.

dFileCabinet user review

Vorteile:

The application is quite simple to explore and operate. Our industry necessitates massive volumes of documentation, stringent compliance requirements, and excellent management skills. Having e-FileCabinet makes it easier to maintain track of documents and discard hard copies of outdated documents from previous projects. Another feature of the application is that it allows anybody to have unrestricted access to the necessary papers. Logging into our account and finding what we need is a breeze. Another feature that I like is the option to specify which drawers are included in each directory when it is built. This makes it much easier for us to arrange our operations.

Nachteile:

What I dislike the most about the service is that a few times, the PDF file format did not upload correctly and would not download when retrieved at a later time. However, we haven't encountered any problems with the application other than this one.

Fully Customized Secure Data Bank

Kommentare: It was a good experience, however, due to difficulty in viewing the shared files we discontinued their service very recently and moved to google workspace.

Vorteile:

I like the option to build a folder tree template, which can be applied to any main folder.

Nachteile:

I am not happy with the sharing option, where the other person needs to download the files to view the content.

One of my Most Valuable Tools

Kommentare: I stumbled upon this software while searching for a better paperless solution in my office when I learned that my tax software would no longer support their own document management system. They recommended another system, which I found wholly inadequate, both from the standpoint of transitioning and customer care, both of which were less than adequate. When I discovered Efile Cabinet, I found a solution that offered more than I was even looking for and included a level of customer support that I have found to be extremely responsive, considerate and very helpful. I also had an experience where my hard drive crashed and the tech support at Efile Cabinet helped me to restore everything from Cloud view on to my desktop, so I was up and running again in very little time.

Vorteile:

This software has so many features and offers far more than what I ever expected - including the ability to preserve all items in the cloud automatically, the app to be able to retrieve, alter and transmit documents from anywhere with ease and the Secure Drawer option that allows me to share files with my clients back and forth. There are many training videos available, so I'm able to get answers to my questions easily and when I can't figure something out, the tech support is readily available to me. In short, this software is one of the most important tools I use in my office.

Nachteile:

I wish the software had a direct connection to my tax prep software so I could print tax returns directly to client folders, but that's more a function of the tax software than Efile Cabinet, so I can't really hold it against them. It's really the only thing that I don't like, and it's a small thing relative to all the good things.

eFile review

Kommentare: Our overall experience with eFile is becoming more positive. We started out on a rough patch with the system. Our initial training wasn't the greatest and didn't focus on what we would actually benefit from in the system so we basically had to teach ourselves how to use it. Our company uses Sidekick more than online which has really helped our productivity in our company as we used to spend tons of time trying to get documents into employee drawers.

Vorteile:

What I like most about this software is how easy it is to use eFile Sidekick. We have found that using that saves us much more time than using the online version and pulling documents from our email is much quicker than using the eFile scanner.

Nachteile:

What I least like about this software is how the online version lags so much. We are also a company of 30,000+ so we have many drawers out there for our employees. We've had to create multiple cabinets to continue adding employees into. We've had to find a work around in searching for employees since our one cabinet is so full, we can't click on it without freezing and getting booted out of sidekick. I do wish that eFile was able to really handle the amount of documents we put into the system and that it would run smoother for us.

eFileCabinet (EFC) Is Superb for Accounting and Tax Preparation Practices

Kommentare: We are a 12-person accounting and tax preparation practice that has used the locally installed of EFC for 5+ years. Currently we have 115GB of data made up of 143K+ files in 425K+ folders and 6.7K+ drawers. EFC has performed faithfully with only very occasional minor issues (usually user error) during the entire time we've had it. In 30+ years in IT/Business I can't recall any other software that has been this reliable. This is one of the few pieces of software I can recommend without hesitation.

Vorteile:

Allows us to save scans of our clients paper and electronic documents as well as digital copies of their tax returns in a fast, secure, dependable and easy to use document repository. Excellent search capability allows misfiled/"lost" documents to be quickly located.

Nachteile:

Integration with Lacerte, our professional tax prep software (which has ~85% of the market) is limited. NOTE: This is NOT the fault of EFC. Despite our repeated requests over the last 5 years, Intuit, owner of Lacerte, has not provided the needed API (interface) that third parties like EFC require to integrate. EFC has said they stand ready to develop this integration once Intuit delivers. We are hopeful this will occur in 2019.

Does the Job!

Kommentare: We have to use eFileCabinet for our financial and tax business. Our tax software doesn't support eFileCabinet so it takes us extra steps to save completed pdf files of tax returns into the software. For our financial clients, we are required to have this software so we have . But, overall, the software does what it is supposed to - to keep your documents safe and secure in one easy to search place. Customer service is reachable and they will answer your questions when they are able to.

Vorteile:

This software will make it easy for you to keep important documents for your clients and for other aspects of your business in one place, safely and securely. It is fairly flexible in that you can organize the client "files" and "filing cabinets" how you like. You can search for the client name which makes it easy to find what you are looking for with only a few keystrokes.

Nachteile:

The software can be a little confusing to use and a bit finicky if you double-click on your pdf files that you want to "check out". I've lost items that I had scanned into the software because the pdf file gets locked up and can't be recovered. I called support for help, but they either didn't understand what my issue was or couldn't recreate it to fix it. I just try to be careful when viewing or "checking out" documents. You can also scan documents directly into the software, but this software does not have the ability to manipulate the saved scans - like, if you decide that you want to add or delete or even change the orientation of an already saved document you will need to purchase a full version of adobe pdf software.

Overall good product, but has some kinks

Kommentare: Efile cabinet has allowed us to eliminate paper copies of client files!
My biggest suggestion would be to make sure the set-up is correct from the beginning. We are still left with a file/document naming structure that is less than optimal.

Vorteile:

The software is relatively easy to use and is a solid virtual filing cabinet. I like that it is integrated with the Secure Drawer portal and I like that you can email directly from the application.

Nachteile:

Our company has had more than its share of headache when upgrading from one verson to another. Specifically we have had (and currently have) the programmers working on our company's upgrade. This makes it very difficult during our busy times and leads to a lack of desire to upgrade.

Original user

Vorteile:

I purchased E file cabinet when it was first developed. I have used the original version because I do not use Microsoft office. The later versions require Microsoft Office to age maximum benefit and data encryption from the product. As a single practitioner I do not need encryption. So if you are considering purchasing the product be aware that the technical service is wonderful. The assistance they provide me with annual setting up new year universal templates is worth the reasonable annual maintenance cost for the service. The people are helpful and the phone support from Mountain time to Eastern time is convenient.

Nachteile:

The current versions require Microsoft email if you want to attach a file to an email. I use Chrome so if I want to attach a file I have to print it to the desktop then attach it to the email. Then I have to delete it from the desktop.

2018 feedback

Kommentare: We experienced a lag time with the end of the tax filing season. Would have been better with more bandwidth to help us in the field.

Vorteile:

The easiness of the usability and the relationship of RightSignature.

Nachteile:

1) I do not like the easiness of the delete function, without securing the delete key 2) I want the ability to upload folders into the client accounts 3) I would like an easy function to resend an expired link to a client. Often times, when clients are purchasing or refinancing their homes, they need the tax return from a year prior. 4) I would like the ability to send a link to an isolated item in the efilecabinet ( i.e. a specific W2 or a certain receipt that the client requests. ). I would like the option to right-click and send a link for the specific item 5) I would like the ability to upload electronic folders into a client name in efilecabinet.

EFC review

Kommentare: When we purchased Efile Cabinet we went from standard filing to nearly 90% paper free retention. Some items have to be retained in original form and others do not. Any items that have a legal retention period such as driver logs are set to shred at the appropriate time so that eliminates the need to go in and do it manually. We probably save enough storage time to be the equivalent of another employee.

Vorteile:

The system was relatively easy to set up and get into operation. Each user has the ability to set their own retention period for every drawer and accessing our files has never been easier. When there is that rare problem the online help system has been able to remote in and fix it right away. We use it for everything from DOT compliance paperwork to Bill of Lading retention as well as filing our maintenance records.

Nachteile:

I know it is necessary but it seems like there is a new release every year.

Going Paperless

Vorteile:

We installed the eFile cabinet several years ago and right away was able to start making our office paperless. The handling and storing of documents was easy to compile in the folders and drawers and immediately saw a reduction of paper in the office. We are able to access any given document upon request without having to fumble through stacks of paper.

Nachteile:

I would say what I like least is the ability to move documents around after storing.

eFileCabinet is a great answer to document storage!

Kommentare: I now have at my fingertips all the documents I could possibly need! Instead of having to go to a different office to look in a file or go downstairs to the archives to find a document - I simply go to my cabinets and quickly pull it up! This saves me a lot of time and effort!

Vorteile:

I have set up my cabinets and draws just as if they were sitting in my office. It's logical and easy to use. Since I keep student records I have one cabinet that has all the transcripts from the time the school opened until the present. Then I have individual cabinets for each graduating year with students in alpha order with the documents that we must keep forever. It's soooo easy to quickly find a student or a specific document.

Nachteile:

When it has been a few days since I went into my eFileCabinet I find that it takes a bit for it to get 'warmed up'. Navigating between cabinets, drawers or documents can be very slow. If I'm uploading a new document, it can act as though I didn't drop and drag the document and instead of immediately showing me that the document is there, I sit and wait and wait. Then, I'll try to upload again and find that now I have two of the document and must delete one. Other than that - it works great for me!
