The biggest attraction to this platform was the low price point.
Sometimes on the android app its signs you out or completely fails to load. Re-opening the app usually fixes it but it can be frusterating.

Great software for teams of all sizes
Kommentare: I've been using this software for 5 years, first as an employee then as an employer. Ease of use for both parties is fantastic and it's well worth paying for to save the time. When I change places of business, if I have a choice, I will choose When I Work again and again.
Vorteile:
- Shift templates, makes scheduling a lot easier - The ability to copy and paste any shift, even faster than clicking and choosing - Simple to add and remove employees - App is fairly easy to use - Time clock is awesome, easy to use
Nachteile:
- Looking at the full staff schedule on a particular day can be tedious. - For those making schedules, it's so much easier to do on a computer - In order to have a printed schedule, it downloads the PDF which you then have to print. I wish this printed right off the website.

Very easy to use, with all the features we need
Kommentare: We upgraded from using a Google Slide template (yes, really) so WhenIWork was a huge improvement for us. We like that employees can easily see their schedule in their own timezone, and request to swap shifts with each other.
Vorteile:
Clear and easy to use, much better interface than its competitors, easy to review timesheets and organize schedules. The colour-coding lets everyone see their own shifts at a glance, and managers can easily spot any gaps in the coverage.
Nachteile:
When scheduling, repeating shifts can be a little clunky and isn't the best UI. But it's overall fine to set up a schedule with recurring shifts.

It's just fine
Kommentare: It has been fine but not great. For an organization trying to implement this software to staff that are used to doing schedules in other ways it has been difficult for people to learn and difficult for people to assimilate into their daily routine because of how complicated it is.
Vorteile:
It allows you to set up a schedule and color code it however you need it to best view it. It has a message feature in the time off request so that there can be a history of a conversation about the request.
Nachteile:
Manager time off requests are automatically approved instead of needing to be approved by another manager or at least approved after created. This means that someone who needs the Manager status to create the schedule but is not the overall supervisor in charge of scheduling can't use the time-off request function. Time off requests can't be changed, only deleted and re-added. Why? Everything is generally more complicated than other similar scheduling software. I cannot copy and paste a range of shifts only individual shifts. Each time there is an update to the schedule made by another person you have to reload the website, which generally loses what you were doing, but this also leads to issues where employees who have the website up and are working on their schedules will not know that there are changes being made to the schedules. So two people could be changing things at the same time.

When I Work — our best HR rep
Kommentare: We have loved our experience so far with When I Work. It reduces the time and effort our senior staff have to spend verifying that each location is being properly staffed. It also provides us with the means to anticipate and identify potential problems before they materialize by reviewing attendance trends.
Vorteile:
When I Work was an answered prayer for our personnel department. We recently underwent a large expansion that added several employees, contractors, and locations. By shifting to When I Work, we have been able to eliminate the need for a separate staff member to oversee employee attendance and productivity. Prior to implementing this, just checking in with each of our site managers took up most of the mornings. Now, within five minutes we are able to get a complete view of where our company assets are at any given time.
Nachteile:
The only drawback we are facing has less to do with When I Work and more to do with the use of productivity software in general. We received some initial backlash from employees who felt we were being overbearing by not taking their word for hand written time sheets, time off requests, etc. However, the majority of our employees—including all of the “good ones”—have come to accept that this measure of accountability benefits not only the company but them personally.

Clear work schedule, easily accessible by phone!
Kommentare: I was helping an acquaintance start a small company in a nearby city. Work shifts were all over the place and last minute needs popped up constantly. When I Work made keeping tabs on all that was going on, so much simpler! I could easily schedule employees and know I could count on this app to communicate it to them.
Vorteile:
Being able to access my schedule from my phone was super important. I remember working where schedules were posted on paper in the staff room. People would have to go in and either write down their shifts or put them into their phone manually. Thankfully, apps like When I Work have become much more popular and schedules can be sent to employees digitally. I appreciated how simple viewing and accessing schedules has been through When I Work. (It makes planning the rest of my life much easier!)
Nachteile:
The interface of the app is not very visually appealing. It's simple, which is what some may need. But I really appreciate a visually appealing, well configured app.

The Best Tool A Manager Could Ask For
Kommentare: When I Work is very easy to navigate and makes scheduling, as well as communication, with employees efficient. There are never any pop ups or app speed issues. The company has though of everything regarding scheduling.
Vorteile:
The feature I like most about When I Work is the ability to view employees hours. Often times, as a manager, we are required to cut shifts or adjust schedules. The forecast tools and the option on scheduler allow us to make fair decisions.
Nachteile:
My only complaint about When I work is the inability to publish schedules on the app version. I often have trouble and even though I click "publish" in the upper right corner - I do not see any notifications sent or publishing done. The website does not look appealing either on mobile safari app.

When I Work Shifts Usage
Vorteile:
When I Work is a great employee scheduling and shift management software. It offers the ability to pick up and drop shifts easily while maintaining communication with necessary personnel.
Nachteile:
When I Work can be very expensive especially since it charges per employee. For bigger organizations, it may not be worth carrying the variable fee structure to maintain annual budgeted expenses.

It reminds me of my shift that I like and it's easy to remember. If there are any changes to the information regarding the work, it notifies me quickly.

It frequently reminds me of something I don't like. Sometimes, if the owner doesn't change or remove me from a shift, it keeps emailing me about it.

Kommentare: Overall When I Work is a great time tracking solution. It works well, and the report outputs are easy to work with when running payroll. The only thing that could improve is that the sync feature would work with Quickbooks simple start and essentials. Currently the sync function only works with quickbooks plus and above, and not all my clients have a plus level subscription, adding manual entry for payroll.
Vorteile:
The ability for employees to clock in from their smart phone and the system logging their location is very useful. The chat feature also helps employers to communicate the days tasks quickly.l
Nachteile:
The pricing structure seems to always be changing and every time I recommend it to a new or existing client, the current pricing is different than what my other clients are on. I need to be constantly checking the newest pricing before I recommended and begin setup for new accounts.

Scheduling made simple
Kommentare: Overall we have loved using When I Work. It makes scheduling seamless and reduces the amount of time we spend on employee schedules. We also really love the reminders and text alerts as it makes it easy to communicate with our team quickly when things change.
Vorteile:
When I Work is so easy to use, it is simple to add employees, great for creating shift templates and the chat features and shift drop applications make changing the schedule simple for employees. As a manager these features are awesome as they reduce the amount of time that I spend re-working the schedule.
Nachteile:
The only challenge we have faced is that we don't have access to the task list as we don't pay for this version of the application. We would love to try it out to see if it is a good value add for us.

Kommentare: I loved the when i work app very much. I was able to look at my shifts as well as change and drop shifts, There is also the ability to chat with other employees about changing or swapping shifts.
Vorteile:
When I work is a great app as far as employee scheduling and shift changes. The app has sooo many great features available and it is very affordable.

there were a few glitches with the software on ocassion when trying to pick up a dropped shift if you are already scheduled.

Scheduling Made Easy and Quick
Vorteile:
The site is very easy to understand especially for a software that is so robust. I can't tell you the value there, but it is so much appreciated. We have saved a lot of time and miscommunications while using When I work. The attendance notifications help me to keep track of where our team is hour-wise on an individual basis and as a whole. It's nice that I am alerted, one less thing I need to remember to check on. In conjunction with the Forcast reporting, I have a very clear view of the week ahead. The apps are handy, especially from the administration side. I am able to update time clocked hours on the fly, check everyone's schedule and separate out my own, I can even handle time off requests. I haven't ever attempted to schedule through the app, although knowing how intuitive everything is through their online site, I would venture to guess it would be a piece of cake. I know our team members enjoy having their schedules and hours readily available in their pocket as well.
Nachteile:
We have had a couple issues with clock-ins through the apps. There have been times when it isn't recognizing the location or the punch doesn't make it all the way through. But that's it! I would love if this software could manage our PTO as well, but we haven't found a way to make it work with how our times are calculated.

MISSING BASIC FUNCTIONS!
Kommentare: Overall, we feel very let down with the simple but IMPORTANT missing features. Having spent time to setup two other client accounts with WIW, and made two training videos. WASTE OF TIME! But that's the chance you take, right? Vetting doesn't always go well and we found a work around for the PTO issue, but the timesheet submittal issue is a deal breaker. We are not going to setup a side system to verify that everyone has completed their timesheets and track history for employees submitting for review and accuracy. This needs to be a function of the app.
Vorteile:
Interface is simple and provides an organized structure that is responsive. Inviting and adding employees is automated.
Nachteile:
Your employees cannot "turn in" or "submit" their timesheets! There is no way to know or have them verify that what they have entered is ready for review. A mgr has to chase down each employee to verify they have finished, or have a side system of notices, or double tracking. Employees cannot enter PTO after the fact, they can only REQUEST PTO for future dates. If a company is using the timesheet function to have employees enter their time, breaks, PTO, etc, there are many limitations that require managers to do additional work. For instance, if an employee has an unexpected family emergency for two days, they cannot request PTO after those days are past. So how does PTO get entered for those days? Somehow the employee has to communicate with the mgr to enter it for them! Very simple but integral functions that are important to a timesheet app that are missing!! When giving feedback to WIW about these missing features, we were told that it was fine for us to move to another app since WIW wasn't a good fit. In other words, they are not open to feedback for improvement.....like it or leave.... We are leaving and taking the two clients we already setup on WIW trials to another platform, along with the 5 other clients that were waiting for the results of our trial run. All of which would have been paid subscriptions for WIW!

Going down the drain fast
Kommentare: Terrible. When I first started with When I Work it was a blessing and helped our business work well. I don't know if they changed management or what but the customer service has gone down hill in the last year or so. We are a staffing agency. We depend on our scheduling service for our money our very heart of our bisiness. They made some changes that have totally made this service obsolete for our company and now - in the middle of the work week in the middle of the work day when all of a sudden the changes became in effect with no warning- we have to stop what we are doing and find another scheduling service. This is after they had a large glitch that made it very difficult for our business and fixed it after 4 weeks. Can't call anyone - not an option.

When there is a glitch they don't fix it for like a month. They change features that are detremental and don't give an option to opt out. You can't speak to a person you have to email them with problems. When you do get a hold of someone they do not help you but just say the same thing over and over like: We are working on this at this time. No solutions.

The software has made the impossible, possible for scheduling employees
Kommentare: I think scheduling would not be managed as well without this software.
Vorteile:
I love that employees can indicate when they are available and when they are not available. I love that they can put in requests for time off which helps me not rely on myself for remembering. I love that there are additional features for rate of wage. I like the attendance and I can see if employees are showing up late or getting into overtime. There is a budget feature which I have not used but think would be very helpful in the future.
Nachteile:
I wish that I could have the option of excluding some employees when sending a general email through WIW. I also wish that open shifts were always a different color especially when looking at the schedule by position. This would bring my attention to the open shift and alert me that someone is needed. I wish I could publish an employees schedule out for more than 1 week.

When sending custom email messages to your employee's you can select which employees you would like to send the email messages to, by clicking on the "To" field and selecting their names from the list. There is not a way to automatically change the colors of the OpenShifts. Instead managers would have to manually edit the OpenShifts and change the colors on the Scheduler page. Biggby Coffee franchisee with two locations with some employees work at both locations
Kommentare: over all we are happy and will be staying with the system. we would much rather help them develop there product the switch to another system. while we went there at the very beginning I think it was close an it has been useful and stable all along.
Vorteile:
used on phones. multiple site capability. we started with one location with the knowledge that as we gained locations this system could grow with us with out having to buy into a large expensive system before we were ready.
Nachteile:
the workchat function is still in need of some attention. deleting old chats isn't obvious. Sometimes when writing longer texts the system will stop displaying the text being written after about 200 characters, then the whole text will be displayed when sent. can't edit or delete a posted text. posting pictures can be confusing although they do post. the chat is about 75% there just needs a little buffing up, this is a pretty big part of our administration as to a great degree we manage from offsite.

Deceptive billing practices
Kommentare: The software is okay. The program usually does what it should when it is not glitching. After 3+ years of using this product, it came to my attention that we were being overcharged every month. When I contacted customer service, they were unwilling to offer any solution, rather than explaining their confusing billing style. Not even a credit of any sort. The software sells you "user spots" in increments of ten. For a smaller business, there is a big difference between 10 and 20. So, if you have 11 employees, you need to pay for 20. How does that make sense? Even when we had less than 10 employees, we were being charged for 20. Please explain to me how that is not stealing? Their whole system is very confusing. I will be moving on to a new system because I am not satisfied with the customer service I received.
Vorteile:
It does what it is supposed to - enables us to schedule employees, notify them of their shifts, sends us a text when someone did not clock in or out.
Nachteile:
Their billing practices are very deceptive and not user friendly. They sell you "user spots" in increments of 10. It is very confusing how to downgrade but very easy to upgrade. I urge every customer who uses this program to check their billing to see what they are being charged for. Customer service is not helpful and seems like they are not interested in providing good customer service.

I'm sorry for any confusion around our billing processes. Billing is based on spots purchased, not necessarily spots in use. I can see how that may have been confusing, I'm sorry about that. User spots are offered in increments of 10. Allowing the option to select a quantity of 10 is a way to fit many different businesses needs. We've found that offering increments of 10 spots ensures plenty of room for growth before needing to make any billing changes again. Works Well Enough
Kommentare: Overall it worked well for our first digital time clock. However as the price increased and the features become less focused on what we needed, we moved on to other programs. For retail or part-time employees this could be very useful.
Vorteile:
It is easy to sign up for and simple to manage. The cost is very low and usually has a free trial before you buy.
Nachteile:
The updates kept causing issues. Employees interface on a computer had to consistently be signed in again. The Kiosk feature needs improvement.

Revolutionized our Scheduling Process
Kommentare: We used to manually schedule all staff at our child care programs. When a regular staff called in sick or requested vacation we used to have to call, text and email each individual on call or float staff to see who was available and if they could work at the location we needed. When I Work allows us to be a lot more efficient in this process. It also allows for better communication with all staff through features such as work chat, and announcements. The customer service provided from the initial demo to setting up our team was exceptional. Our rep was always available to answer our questions or educate us about new features that might be useful to us. Our rep worked with us to use the features that worked best for us. When I Work also provides ready to go resources that you can send out to teams that include everything from how to set up your account, see open shifts, swap/drop shifts etc.
Vorteile:
The ability to post open shifts as revolutionized our ability to communicate with and mobilize our on call staff. By posting an open shift On Call and float staff see the shift right away and are able to pick up shifts that fit with their schedules. The ease of posting open shifts has drastically decreased the time spent trying to find staff to fill gaps in schedules. With over 150 employees and 44 locations we are able to post the addresses of each location that allow staff to pull up a map to the site.
Nachteile:
At this time the product is serving us very well. When I Work continues to add new features and provides detailed descriptions and instructions to these features.

Makes scheduling super easy!
Vorteile:
This product is super straight forward and very user-friendly. It is very easy to use the scheduler as well as keep up with employee hours on the Time Tracker. You can easily edit attendance if your employee forgets to clock out and sending messages to the whole group is super easy with the group message feature. The online based platform is great and the app is the perfect way to post the schedule without having to send out emails of spreadsheets etc. Notifications come straight to your phone regarding scheduling changes, shift swap requests, time off requests, and even when your employees forgot to clock in. Notification alerts are easy to change in settings. There's even a setting to get a reminder 2 hours prior to your shift so in case your schedule is constantly changing, its so easy to keep up with it!
Nachteile:
The satellite/gps location isn't as good as it can be with regards to clocking in. Sometimes it will not let you clock in due to being "too far away" when you are standing right at your work. The app sometimes freezes up when clocking in/out or takes a while to process a clock in. So then when you press "clock in" again, it'll actually clock you out.

When I have to work, I use "When I Work" to make sure I get to work when I'm Supposed to!!
Kommentare: Overall, I really like this Software. It is very affordable for my small company! It has some features and functionality that it's competitor's just simply did not offer. So I actually use 2 different Time tracking softwares. But my employees use this one. If I was forced to make a choice on either "When I Work" or one of their competitors, I would probably have to choose "When I Work". They really do include everything my small business needs and more when it comes to scheduling and time tracking needs. The Geo fencing and Chat feature within the Software is just great. It really takes a lot of concern away from me. It allows the employees to be a bit more free and manage themselves and still be held accountable so I do not need to micro manage. It's hard to Explain, but just try the Software out and you won't be disappointed!!
Vorteile:
The functionality and features offered are by far the best thing about this Software. Ease of use, and control of use. Fairly Intuitive, and addresses most all of my needs for my small business!! The Cost! This software is very affordable for a small company.
Nachteile:
I think that the Customer Support is not up to Par. The only way to get support is via Chat or to submit a Ticket. I have been ignored or neglected in the past, and just needed some help and no one was available and Did not respond either. This was when I first started using the Software and so it left a bit of a bad impression with me... I wish the Reports were not just limited to CSV files. I wish the reports were nice and clean and well presented like some of their competitors offer...

Love When I Work. Easy to use, and the customer service is outstanding!
Kommentare: Being able to go paperless was the biggest benefit. Also, the ease of the software makes it easy for Supervisors to make schedules and track hours.
Vorteile:
Love the ease of the software, super user-friendly. Also, like that it is easy for all generations to use. Love that all requests can be made online, helping to eliminate paper.
Nachteile:
Would like to see more options for tracking employee hours as far as the reporting goes. Also, other features like tracking employees who work different positions, and being able to report on those hours. Also would like for it to track employee hours who no longer work with us anymore. Don't like that once the employee is removed from When I Work, all of their history is removed as well.
